Position Purpose and Objectives
The Accounts Receivable Front Desk Specialist is responsible for managing the day-to-day financial transactions, ensuring accurate and timely recording of accounts receivable activities. The ideal candidate will have a strong attention to detail, excellent communication skills, and a thorough understanding of the collections process. They will also be responsible for answering the telephones and greeting customers at the door.
Specific Duties, Functions and Responsibilities
Ability to frequently communicate and exchange accurate information with internal and external stakeholders.
Answer incoming calls and assign them to the appropriate department.
Greet customers at the door.
Ability to operate a computer and other standard office equipment such as a telephone, printer, and copier.
Order office supplies as needed and keep the general area clean.
Generate and issue customer invoices accurately and in a timely manner.
Monitor and follow up on overdue accounts, ensuring timely collection of payments.
Post, deposit, and document payments.
Create and update and document process.
Process demand letters and collections. Reconcile customer accounts and resolve discrepancies promptly.
Maintain organized and up-to-date accounts receivable ledger.
Maintain files.
Assist in month-end and year-end closing processes.
Collaborate with other departments to ensure accurate and timely financial reporting.
Assist in the preparation of financial statements and reports as needed.
Perform other ad-hoc tasks and projects assigned by the Manager.
Participate in all assigned trainings.
Document and share customer feedback.
Maintain accurate, complete, and organized files.
Required Knowledge, Skills, and Abilities
Prefer a Bachelor’s degree in Accounting, Finance, or a related field.
Proven experience as an accounts receivable clerk or similar role.
Strong knowledge of accounting principles and practices.
Proficient in the use of accounting software such as Sage and Microsoft Excel.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Effective communication and interpersonal skills.
Ability to work independently and as part of a team.

Education and Experience
Essential
High-school diploma or equivalent
English fluency
Valid driver’s license
Ability to use/learn business technology.
Microsoft Office
Sage 100 / Sage Intacct
Acculynx
Preferred
Roofing industry experience
Bilingual fluency
OSHA 30-hour card
Familiarity with local building codes
Experience with estimating programs
Physical Requirements
Ability to remain in a stationary position (sitting or standing) at a desk or workstation for extended periods, typically up to 8 hours per day.
Ability to occasionally move about the office to access files, office equipment, and meeting spaces.
Ability to occasionally lift and/or move up to 10 pounds (e.g., files, office supplies).
