Salary : Job Summary :

The Client Services Coordinator is a self-starter who seeks out guidance when needed while taking on the responsibility for maintaining direct communication between the firm and its clients. Guaranteeing clients inquiries are answered, client documents received are processed accurately, timely, and ensure the smooth flow of projects from start to finish to achieve our client and firm goals. Ensure the office environment has the appropriate supplies and assists team members.

Essential functions :

  • Must be at work and on time daily.
  • Greets clients, visitors, and guests; determines the purpose of each persons visit and directs or escorts him or her to the appropriate location.
  • Answers and directs phone calls to team members.
  • Contact clients day before an appointment to verify appointment times and location with team members in advance.
  • Receives and drops off mail, documents, packages, and courier deliveries and distributes items.
  • Follows processes and steps to ensure all client projects are processed accurately and timely. This may include starting, scanning, assembly, or e-file of client project.
  • Notify clients of any monies owed, collect client payments and deposit monies.
  • Ensures the office is stocked with office supplies, snacks, drinks and other supplies as needed.
  • Maintains the office equipment, kitchen, and all shared spaces for the facility.
  • Orders and distributes lunch to team members when needed.
  • Submit annual reports to the State of Mississippi for clients.
  • Assists team members of office with computer equipment or phone issues.
  • Supports the Client Accounting and Advisory Services, Payroll, and Tax team members with special projects as needed.
  • Performs other duties as needed.
  • Work overtime as needed.

Required Skills and Abilities :

  • Self-starter who is able to prioritize, stay organized, and seeks out guidance when needed from Senior Client Service Coordinators.
  • Must have excellent verbal and written communication skills to communicate with clients through phones, face to face, or electronic communications.
  • Must be able to work successfully in a fast paced environment with frequent interruptions while ensuring accuracy in work performed.
  • Must be able to pay attention to detail and be committed to producing quality work and avoiding negligent errors.
  • Ability to build long term relationships with clients and team members by exceeding expectations and providing excellent customer service.
  • Work effectively with others and enhance team-orientated environment.
  • Proficient with MS Office Suite and ability to embrace and learn new technology with ease.

  • The work environment is an air conditioned office setting with lighting and minimal noise.
  • Physical requirements :

  • Sedentary work.
  • Requires the ability to operate standard office equipment and keyboards. Repetitive motion and substantial movements (motions) of the wrists, hands, and / or fingers.
  • Required to have close visual acuity to perform an activity such as : preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading
  • Speaking - Expressing or exchanging ideas by means of the spoken word to impart oral information to clients or the public and to convey detailed spoken instructions to other workers through the telephone or in person.
  • Hearing - The ability to hear, understand, and distinguish speech and / or other sounds (alarms) in person or through telephone.
  • Must have the ability to walk short distances, and drive a vehicle to other office locations or to meet with clients.
  • Exerting up to 20 pounds of force occasionally and / or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Travel required

  • May travel as needed to other Byrne Zizzi locations or to meet with clients at their location.
  • Required education and experience

  • High school diploma or equivalent required.
  • Preferred education and experience

  • Associates or bachelors degree is preferred.
  • Minimum of three (3) years experience in a professional office environment providing customer or client services is preferred.
  • Preferred experience with Thompson Reuters Suite.
