    Job Summary:

    The Administrative Assistant to the Director of Student Support Services/District Assessment Coordinator provides high-level administrative support to the Student Support Services Department and leads the coordination and implementation of all district and state assessments. This position requires strong organizational skills, attention to detail, discretion, and the ability to work collaboratively with district staff, school administrators, teachers, and external agencies.

    Essential Duties and Responsibilities:

    • Serve as the primary point of contact for the Student Support Services office.
    • Maintain confidential student records, including IEPs, 504 Plans, and related documentation.
    • Prepare reports and documentation for meetings and compliance audits.
    • Support Third Party billing, data entry, and documentation processes as needed.
    • Provide administrative assistance for professional development, parent meetings, and department initiatives.
    • Coordinate all district-wide and state-mandated assessments (e.g., FAST, ACCESS, ACT, state assessments).
    • Develop and disseminate assessment schedules, manuals, and training materials.
    • Serve as liaison with state assessment agencies and vendors.
    • Train school test coordinators and staff on test administration protocols and procedures.
    • Ensure all assessments are administered in accordance with federal, state, and local guidelines.
    • Maintain accurate records of student assessment data and oversee secure handling of testing materials.
    • Troubleshoot testing issues and provide timely support during testing windows.
    • Analyze and compile assessment data for district reports and improvement planning.
    Qualifications:
    • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
    • Minimum of 3 years administrative assistant experience, preferably in an educational setting.
    • Experience with assessment coordination or student data systems strongly preferred.
    • Strong knowledge of FERPA and student confidentiality laws.
    • Proficient in SpedForms, Google Workspace, and student information systems (e.g. Infinite Campus).
    • Excellent communication, organization, and time-management skills.
    • Ability to manage multiple priorities and work independently.
    • Demonstrated discretion and professionalism in handling sensitive information.
    Pay:
    • Hourly Range: $19.39-$26.89
