Real Estate and Facilities (RE&F), a division of the Corporate Services department, was established in June 2015. Since then, RE&F has grown alongside our organization, managing a vast global footprint. Our meticulous management model encompasses the entire real estate lifecycle, from occupancy planning and transaction management to project management and facilities management. With a passion for innovation and a commitment to excellence, we strive to create inspiring spaces that foster collaboration and unleash the full potential of our teams.
Responsibilities:
- Oversee day-to-day operations of IFM service provider.
- Develop operational playbooks for each site.
- Engage with multiple business partners, including Procurement, Admin, Catering, Physical Security, EHS, IT, Crisis Management Team, etc.
- Serve as the escalation point of contact with property management and landlords.
- Generate Annual FM OpEx and CapEx budgets and communicate any re-projections.
- Track, review and comment on FM financial reporting, comparing actuals vs. forecasts.
- Manage and track Parking Contracts and Parking Budgets.
- Manage escalations with vendors and contractors.
- Ensure requests are handled within department SLAs and delivered at the highest customer service levels.
- Draft and execute service provider and vendor agreements.
- Assure IFM suppliers operate within agreed KPIs and SLAs.
- Review and approve vendor invoices, addressing any discrepancies.
- Participate in quarterly business reviews with suppliers.
- Perform monthly rent reviews and resolve discrepancies.
- Develop and implement facilities policies and procedures in alignment with ByteDance standards.
- Support and manage requests from multiple business units effectively.
- Build and maintain strong relationships with various stakeholders.
- Monitor and review data analytics from the Workplace Ticketing System.
- Maintain up-to-date floor plans and seating assignments.
Qualifications
Minimum Qualifications:
- Extensive experience in facilities management, workplace services, property management, or office management.
- Knowledge of MEP equipment and systems, including HVAC, lighting controls, plumbing systems, and BMS.
- Strong understanding of operational support for culinary and kitchen operations.
- Experience in managing budgets.
- Proven ability to manage relationships and communicate effectively with vendors and contractors.
- Experience in occupancy planning and executing optimization plans.
- Ability to communicate thoroughly, effectively, and succinctly with stakeholders.
- Highly customer service-oriented.
Preferred Qualifications:
- Passionate about workplace operations and able to work in a fast-paced environment.
- Proven leadership in facilities operations with a strong team-oriented approach.
- Expert multitasker with the ability to consistently meet deadlines.

【For Pay Transparency】Compensation Description (Annually)
The base salary range for this position in the selected city is $103000 - $176000 annually.
Compensation may vary outside of this range depending on a number of factors, including a candidate’s qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.
Benefits may vary depending on the nature of employment and the country work location. Employees have day one access to medical, dental, and vision insurance, a 401(k) savings plan with company match, paid parental leave, short-term and long-term disability coverage, life insurance, wellbeing benefits, among others. Employees also receive 10 paid holidays per year, 10 paid sick days per year and 17 days of Paid Personal Time (prorated upon hire with increasing accruals by tenure).
