JOB SUMMARY:
The Documents Technician’s primary duty is to provide excellent customer service to CHB borrower and broker clients by accurately and efficiently funding new commercial loans, preparing and processing the documents and required items prior to funding in software tool. Must be sensitive to time deadlines and ensure work is accomplished in the time frames required and must be flexible and able to readily adapt to changing priorities. Secondary duties include communicate via phone/email, prepare and send correspondence, track and report funding exceptions. The skill and ability to work independently and as part of a team are needed in this quick-paced position.

RESPONSIBILITIES:1. ESSENTIAL FUNCTIONS:
a. Quality check required paperwork prior to funding; prepare, send, and arrange documents through Seritus, and correspondence to brokers and borrowers listing needed items that are missing
b. Obtain verbal confirmation from borrowers they are ready for CHB to activate the loan and transmit funds
c. Verify Wire Instructions with vendors/sellers and/or their agents (e.g. banks, consignee)
d. Answer and respond to phone calls and emails from customers;
e. Comply with customer service experience standards in dealing with clients and co-workers
f. Perform all other duties of a similar nature or level as assigned
g. Tear-down process: make a list of the funding items that are needed, BSA & OFAC
h. Utilize DocuSign
i. Broker List update.
j. Other duties as assigned.
2. SECONDARY & BACKUP FUNCTIONS
a. Prepare and deliver electronic monetary wires and cashier’s checks to fund new commercial loans
b. Balance General Ledger tickets and submit daily transaction balance sheet to corporate accounting
c. Track, report, and follow-up on funded loans exception files
d. Ping installed GPS units to verify operability; order GPS units as needed
e. Order and process inspection and funds delivery service from third-party vendor (e.g. QuikTrak)
f. Reconcile and review the Title Fees checkbook monthly; update the Outstanding Checks tracker for the account and send to corporate accounting

REQUIREMENTS

Minimum Qualifications:
1. High School diploma or equivalent.
2. One year full-time work experience filling an administrative or clerical support position in an office team environment; loan or banking areas experience preferred.
3. Educational background in accounting, or equivalent obtained through practical experience.
4. Strong administrative and organizational skills.
5. Ability to work successfully in a high-demand, fast-paced, pressure-laced environment.
6. Must be assertive and possess sound decision-making abilities.
7. Competent keyboarding and computer use skills.
8. Ability to learn new software and procedures, and grasp new concepts.
9. Previous software experience/skills in Microsoft applications (e.g. Word, Excel, Outlook).
10. Effective oral and written communication skills (including telephone).
11. Self-sufficient/self-starting.
12. Must be able to produce accurate and timely results while maintaining a professional and positive attitude.
13. General areas of competency: dependability, personal development, work place safety, evaluation and interpersonal skills, prioritization, problem solving, teamwork, time management.
14. Demonstrated aptitude to handle sensitive financial transactions and customer relationships.
15. Professional dress and appearance.
16. Must be capable of working with and maintaining the confidentiality of sensitive information.

Physical Requirements:
Light Work - exerting up to 20 pounds of force occasionally, and/up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Reaching, grasping, repetitive motions, stooping, crouching, standing, walking, lifting, climbing, kneeling, talking, hearing, pulling, pushing, thinking, concentrating and interacting with others.
