The Operations Specialist will be responsible for a variety of tasks within a branch of a regional Construction Equipment Dealership. This position entails working approximately 45 - 50 hours per week, and salary is dependent on experience.
General Administration
Facilitate all store administrative processes
Maintain Paper and Data Files utilizing various PC software applications
Perform Banking and Mail duties, process inter-office mail
Generate Correspondence as Required
Communicate with central office staff regarding all administrative issues
Process Human Resource documents, provide employee orientation and information on benefits
Utilize AS400 system Accounting, Equipment, Rentals, POS, Archive, and Service menus
Utilize MS Office software with heavy use of Outlook and Excel
Accounting Related
- Issue Purchase Orders
- Process and Verify Coding on Completed Purchase Orders
- Prepare Cash Recaps and Deposits
- Review time clock entries for bi-weekly payroll
- Submit Paid Time Off requests
- Prepare Petty Cash and Checking Account Reimbursements
- Review and Prepare Payment for local Expense Reimbursements
- Perform End of Month procedures for branch
Store Operations
Distribute Internal Correspondence
Communicate with Customers to provide assistance, resolve problems, answer billing questions
Coordinate purchasing of internal ‘consumables’
Answer and Route in-coming phone calls
Serve as Manager’s general assistant
Assist with special events and special projects as required
Maintain vendor and customer relations
Cross train in all departments in order to provide back up and support
Sales Support
- Prepare Quotations and Presentations for Sales and Rental Departments
- Communicate with corporate based Sales Administrator
- Utilize Integrated and Spreadsheet Programs in Document Preparation and Sales Tracking
- Order and Maintain Product Literature
- Communicate with Sales Team regarding customer inquiries, equipment availability
Rental Operations:
- Respond to Customer Calls, Provide quotations
- Track ‘Lost’ Rents
- Verify Customer Account and Insurance
- Coordinate transportation of equipment
- Rental Contract Generation and Close
- Rental Damage processing
- Rental Invoicing
Service Operations:
- Provide support to Service Manager
- Assist with billing/warranty processing
- Assist with managing warranties on sold and rental equipment
- Respond to customer inquiries as needed
Job Type: Full-time
Pay: $59,000.00 - $65,000.00 per year
