The firm is seeking a detail-oriented Billing Specialist / Administrative Supervisor with project or job billing experience to ensure timely, accurate invoicing to our clients. This position will also manage and direct administrative assistants in our West Lawn, PA office.
Essential Duties and Responsibilities for the Billing Specialist will include the following. Other duties may be assigned to meet business needs.
- Generate client invoices and monthly statements.
- Work directly with firm partners. Compile and maintain confidential records.
- Gather necessary supporting documentation to produce accurate / timely billing.
- Resolve billing questions with clients as necessary.
- Monitor costs accumulated in time and billing system and ensure costs are invoiced to customer as applicable. Produce time and billing reports as required.
- Track status of in progress jobs to ensure timely billing.
- Collection of delinquent accounts.
- Oversee daily duties of administrative assistants to ensure that quality standards are being met and proper procedures are being followed.
- Coordinate work schedules and duty assignments for administrative assistants.
- Excellent communication skills; verbal and written.
- Excellent analytical and problem solving skills.
- Knowledge of Accounting software a plus.
- Knowledge of MS Office (Word, Excel, Outlook).
- Ability to multi-task.
- Ability to work under pressure and time sensitive deadlines.
- Detail orientated and works with a high degree of accuracy.
- Billing experience required.
- Accounting or legal industry experience a plus.
- Bachelor’s Degree in accounting or business administration preferred.
