The Records Management Specialist II (RMS II) supports a records program by providing technical and administrative support in managing physical and electronic records. This non-supervisory position operates under the direction of a Records Information Manager and plays a key role in planning, developing, and implementing recordkeeping procedures and training programs. The ideal candidate will be detail-oriented with strong oral and written communication skills and have a customer-service mindset to serve as a liaison between records services and staff. Familiarity with Microsoft Outlook, Teams, and current operating systems is essential, as is experience in records or data management environments.
RESPONSIBILITIES:
- Assist in planning and development of records management strategies to address ongoing records needs in all formats (electronic and physical).
- Analyze records management issues and propose strategies and solutions to improve compliance and efficiency.
- Respond to inquiries related to records policies, retrieval, storage, and access procedures.
- Operate within a records service bureau environment to support agency personnel and provide front-line assistance.
- Contribute to the development of standard operating procedures and training materials.
- Periodically conduct classroom training sessions covering topics such as:
- Records center processes and systems (e.g., Versatile tracking system)
- Electronic records management
- Regional records procedures and file plans
- Confidential Business Information (CBI) policies
- Serve as a liaison between records staff and internal customers, ensuring clear communication and understanding of recordkeeping requirements.
- Maintain documentation for the records center and support database administration tasks as needed.
- Use Microsoft Outlook and Teams for communication and coordination, and support training delivery through virtual platforms as applicable.
- Apply knowledge of basic records management concepts and demonstrate the ability to follow detailed processes accurately.
REQUIREMENTS:
- College degree preferred, but not required.
- Minimum of 2–3 years of experience in records or data management.
- Previous experience in a customer service role is required.
- Experience with electronic records and familiarity with records center environments.
- Proficiency in Microsoft Windows (Windows 10 or Windows 11), Outlook, and Teams.
- Ability to design and deliver training sessions and develop training modules independently.
- Excellent oral and written communication skills; able to engage with all levels of personnel.
- Strong attention to detail and organizational skills.
- Demonstrated ability to work collaboratively in a team-oriented environment.
- Service-oriented mindset with the ability to operate effectively in a records service bureau setting.
