What You Will Do
The Medical Records Clerk plays a crucial role in facility, by maintaining and consistently updating medical records. Responsibilities
- Assists in audits of records of new admissions according to established criteria to assure completeness, accuracy and compliance with state and federal regulations.
- Assists in audits of records on in-house residents on a monthly basis according to established criteria to assure completeness, accuracy and compliance with state and federal regulations.
- Assists in periodic audits of medication and treatment records to assure completeness.
- Safeguards medical information against loss, destruction, or un-authorized use.
- Assists in the maintenance of the system for retrieval of discharged medical records.
- Assists in thinning records on a regular basis according to thinning guidelines and maintains thinned files in proper order to assure ease in retrieval and integrity of the resident's medical record.
- Assists in identifying quality assurance problems with clinical records and reports them immediately to the appropriate Supervisor.
- Participates in data collection for the facility, including retrieval of clinical records as requested by Medicaid reviews, State surveyors, and administrative requests for other studies.
- Responds to all requests for medical records copies and provides copies in accordance with state and federal laws. Maintains log of requests.
- Assists in monitoring of the discharged clinical record process and permanent files.
- Performs any miscellaneous work assignments as may be required.
- Completes all assigned tasks in a timely manner.
- Always displays a positive attitude.
- Treats residents, visitors and fellow employees with courtesy, respect and dignity.
- Adheres to established dress code.
- Meets acceptable Company attendance requirements.
- Follows established safety and infection control precautions, policies and procedures.
- Attends and participates in in-service training programs as mandated by regulatory agencies/Company policy.
- Accepts work assignments from supervisor willingly and takes ownership of job responsibilities.
- Follows Company meal and break policy.
- Uses supplies without wasting.
- Maintains monthly inventory of all nursing supplies.
- Orders and maintains inventory of supplies and fills requests according to procedures.
- Places orders on a weekly basis.
- Unpacks and checks supplies upon receipt from vendors and reports discrepancies.
- Maintains order and cleanliness of supply and equipment storage areas.
- Maintains budget.
- Performs any miscellaneous work assignments as may be required.
- Makes independent decisions pertaining to the central supply department without supervision from immediate supervisor.
- Uses discretion and independent judgment as it relates to the central supply department in a timely and efficient manner.
- Must possess a valid Maryland issued CNA Certification
- At least 1 year of experience in Long term care is preferred.
- At least 1 year of Medical Record keep experience
