Cadogan Tate New York Limited has an open position for a career-orientated Administrative Assistant within the Storage Department. The essential duties of the role is to support the Operations department with general administrative and data entry responsibilities. This role would ideally suit a candidate with an interest in logistics within the fine art industry, or a data entry specialist. We are predominantly looking for a candidate to provide support to the Storage Department. To assist the electronic recordings, billings accounts of private and commercial storage accounts through our custom inventory database.
This is a busy office, and the team are highly professional and well spirited. This is a full time position and after a successful introductory period we would provide excellent benefits such as 4 weeks split PTO package, contributed healthcare, contributed 401K plan, a free gym membership apart of our wellness program and more. The position is hourly based, and hours are Monday through Friday 9.00am to 5.30pm. This is a full-time permanent position in office. The candidate must have proof of authorization to work in the U.S.
Key Responsibilities
- Provide support to the Inventory and Storage Teams
- Cataloguing and uploading images of items on Moveware and The Studio
- Update data for object references, including the object description, uploading images, adding object reference numbers and components as required, accurately and efficiently
- Proper handling of art objects, fragile and artistic material, antique and fine furniture
- Preparation of condition checks and condition reports as needed
- Able to work and communicate effectively with a small crew
- Ensure a high degree of detail and focus on every job
- Support Storage Manager with managing inventory
- Supporting Storage / Studio team with their day to day workload, including the setting up of client files, creating purchase orders, entering Moveware data, producing bills of ladings and generating invoices
- Familiarity with The Studio website and Client portal to advise and troubleshoot
- Ensuring the department calls are handled in a prompt and professional manner
- Assisting your Supervisor and Fine Art Services Team when required
- Providing excellent customer service at all times
- To maintain files in accordance with company protocols and procedures
- Use all resources available to ensure the highest customer satisfaction
- Ensure a high degree of detail and focus on every job
