Administrative Medical Assistant Team Lead
Reports to Office Manager/RN
Background: Cahaba Medical Care Foundation is a community health center organization providing medical, pharmacy, dental, and behavioral health services to diverse underserved communities in Jefferson, Bibb, Perry, and Chilton counties. We are a Level 3 Patient-Centered Medical Home and Joint Commission accredited organization, committed to increasing integration and coordination of behavioral health and primary care. Responsibilities & Duties

- Punctual and regular attendance at the office during business hours
- Know how to do all of the following proficiently to be able to teach and audit for the assigned MA team (but not to act daily as a MA):
- Have satisfied and passed the blue belt exam, at a minimum
- Triage patients and take vital signs
- Document all patient care in electronic medical record (EMR) as per the established protocols in the Clinical Protocols Manual
- Complete patient paperwork including prior authorizations, home health paperwork, medical supply paperwork, etc
- Complete referrals correctly for all insurances and document appropriately in Athena
- Assist provider with:
- Performing exams, invasive procedures and minor surgeries
- Ordering standard laboratory tests for chronic disease visits
- Completing quality management in EMR
- Reconciling medications and allergies for each patient at each clinical encounter
- E-prescribing medications once the appropriate changes to the medicines have been made by the provider.
- Schedule consultation appointments or imaging appointments for patients
- Prepare patients for examination or procedures
- Set up for procedures
- Respond to patient messages, schedule appointments and procedures
- Clean and stock rooms, and update inventory records or monitor that this is completed appropriately for the MAs and rooms assigned to you
- Administer medications and vaccines upon satisfactory assessment of competency and document and bill for this appropriately
- Perform patient tests and screenings, including x-rays, upon satisfactory assessment of competency
- Perform waived laboratory testing as ordered by physician upon satisfactory assessment of competency Remove sutures or staples from superficial wounds, as well as casts, splints, and other external devices.
- Work through assigned tasks in EMR
- Sterilization and high level disinfection, if applicable
- Communicate with other physician offices, patients, and other ancillary health care offices like pharmacies at the direction of the providers
- Administration responsibilities
- Daily MA chart audits with feedback provided to the MAs on what they did well and what needs to be improved
- MA privileging sheets kept UTD including initial check-offs for new teammates
- Infections control and Environment of care checklist
- Including crash cart checks, fridge temperature checks, etc
- Inventory done weekly for clinic and nightly for your team’s exam rooms
- Time cards/ETO request for MAs on your team in collaboration with your OM
- Disciplinary action of MA’s on your team in collaboration with your OM
- Making weekly schedule for clinic
- Making sure that their team is fully trained properly on referrals, PA’s, paperwork, precerts
- Monitoring your team buckets (phone calls, CallMyDoc calls, referrals, and paperwork) to ensure these are being cleared per the length of time determined by CMC and work with the OMs if buckets are getting “backlogged”
- Audit WCC & CDV visits and document on spreadsheets
- Making sure their team are on time and attentive during meetings and holding them accountable to the information that is given during meetings
- Watching clinic flow for your providers to ensure patient throughput is maintaining and providers are being assisted as needed
- Be available to providers for urgent needs in clinic as well as to receive feedback on MAs on areas that need improvement vs are going well and then work with the OM to formulate a improvement plan
- Weekly compliance rounds- ( check for expired Multi-dose vials, controls and microvettes)
- Make sure in-house lab controls have been performed at the appropriate intervals and are up-to-date.
- Ensuring you understand and can troubleshoot the various medical equipment and equipment integrations before calling IT
- Monitoring compliance with sterilization and high level disinfection, as applicable
- Daily, weekly, & monthly autoclave cleaning & sign book
- Sterilize or monitor to ensure that instruments are done twice a week
- Participate in weekly MA meetings with OM in providing education and retraining on new or existing protocols
- Remove expired vaccines from the accuvax monthly
- Coordinate and lead monthly MA meeting in collaboration with the office manager (who verifies content and that all the necessary elements are discussed and correct)
- Assist with resolving labcorp bills
- Assist with monitoring and delegating QA
- Assist with monthly accuvax report and upload to drive
- Model, support, and enforce Cahaba Medical Care’s Core Cultural Competencies
Qualifications:
- In good standing as a MA
- At least a blue belt
