Description

Cahaba Valley Animal Clinic is currently seeking a motivated and experienced Part-Time Veterinary Receptionist to join our team. As our receptionist, you will play a critical role in the first impression we make on clients and their pets, providing a friendly and welcoming experience for everyone who walks through our doors. In this customer-facing position, you will be responsible for scheduling appointments, managing phone calls, handling client inquiries, and ensuring the smooth flow of daily operations at the front desk. You will be expected to have a minimum of a 3-day availability, including Saturdays, and will be an essential part of our compassionate team.


Key Responsibilities



  • Client Interaction: Greet and check in clients with a friendly and positive attitude, ensuring excellent customer service.


  • Appointment Scheduling: Manage appointment scheduling, confirming upcoming appointments, and assisting with rescheduling or cancellations.


  • Phone Management: Answer incoming calls, address client questions, schedule appointments, and handle general inquiries about the clinic's services.


  • Client Education: Provide information to clients regarding the services offered at Cahaba Valley Animal Clinic, including answering basic questions about pet health and wellness.


  • Client Billing and Payments: Process payments, provide receipts, and maintain accurate financial records for client accounts.


  • Data Entry: Accurately enter and update client and pet information in the clinic's electronic medical records system.


  • Maintaining Clinic Flow: Ensure the front desk area is organized and tidy, facilitating a smooth workflow for veterinary staff and clients.


  • Team Collaboration: Work closely with veterinarians, veterinary technicians, and other receptionists to ensure seamless coordination between client services and patient care.


  • Customer Service Excellence: Handle client concerns or complaints with empathy, professionalism, and prompt resolution, maintaining a positive atmosphere for both clients and team members.



Skills, Knowledge & Expertise to be Successful



  • Previous Experience: A minimum of 1-2 years of experience as a veterinary receptionist, veterinary customer service representative (CSR), or similar role is highly preferred. Willing to train the right individual who has a personality for delivering top notch customer service!


  • Industry Knowledge: Familiarity with veterinary terminology and basic pet care is a plus, as it will allow you to better assist our clients and support the veterinary team.


  • Customer Service Skills: Exceptional communication skills with a friendly and professional demeanor when interacting with clients and their pets.


  • Attention to Detail: Strong organizational skills and the ability to multitask in a fast-paced environment.


  • Computer Proficiency: Comfortable using various software programs, including electronic medical record systems and scheduling software.


  • Saturday Availability: Saturday availability is required as part of the rotating schedule.


  • Team Player: Ability to work well in a collaborative environment and contribute positively to the team dynamic.


  • Strong Work Ethic: Ability to be punctual, reliable, and flexible with scheduling, including the ability to work a minimum of 3 days per week.
