We are seeking a detail-oriented and highly organized Project Administrator Lead to join our team. The primary responsibility of this role is completing basic data entry, scanning and indexing various source documents into a document imaging system for storage, processing, and data management purposes within the public sector, and acting as a key support figure to the Project Manager. This role will be full time and onsite .
What You'll Do
Assist project manager with the management of digitization project, including planning, execution, and monitoring
Lead and mentor a team of digitization resources, ensuring optimal performance
Prepare documents for digitalization by separating a variety of records to prep for their indexing subtype
Operate scanning equipment to convert paper documents into digital formats, ensuring clarity and readability of scanned images, as necessary
Index and categorize digital documents within the imaging system, adhering to established naming conventions and organizational standards
Implement document retention policies, ensuring compliance with designated retention schedules, as necessary
Performa quality checks to validate the accuracy of scanned documents and making corrections, as necessary
Ensure the security and confidentiality of all digital records, following data protection regulations
Maintain assigned office equipment in a clean and professional manner
Work closely with managers and team members to ensure that all necessary documentation is collected, indexed, and maintained
Maintain a designated excel spreadsheet used to track metrics and provide reports on digitization progress to the project manager
Train and support team members in the use of document imaging systems and scanning procedures
What You'll Need
Required:
High school diploma or equivalent
Experience with Microsoft Suite applications of equivalent
Exceptional organizational skills with a keen eye for detail and accuracy
Strong written and verbal communication skills with the ability to clearly convey information to team members and managers
Familiarity with document imaging systems and related software
Demonstrated ability to work effectively both independently and as part of a team
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
Transportation to/from office, dependable and on-time
Be available to work a minimum of one Saturday a month, if necessary
Physical Demands
Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards
Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
