Cal Spas is seeking an Executive Administrative Assistant
The Executive Administrative Assistant conserves colleagues' time and promotes the Cal Spas image by providing excellent service, high-level executive administrative support, representing Cal Spas internally and externally; providing liaison between the president, executives, and employees; conducts all activities within the guidelines of the company and within the approved budget as defined by the Executive Staff. The role also provides back-up support for several critical finance functions and is a blend of administrative responsibilities and some project management.
CHARACTERISTIC DUTIES & RESPONSIBILITY
This position is Monday through Friday 8:00 AM to 5:00 PM.
Represents Cal Spas by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the President.
Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
Preparation and proofing of professional documents, complicated spreadsheets, preparation, general correspondence and presentations.
Manages, organize and prioritizes General Contractor, Client Accounts, Proposals and other large volumes of information
Arranges corporate travel and meetings by developing itineraries and agendas; scheduling the corporate travel; booking other transportation; arranging lodging and meeting accommodations.
Handle confidential and non-routine information, Answers phone for President takes message or field/answer all routine and non-routine questions.
Create and modify documents and reports using MS Word and Excel in an accurate and efficient manner
Manage a significant flow of finance / tax / regulatory documents for signature and distribution
Assist in advancing project by doing follow up with staff members and preparing meeting notes as needed
QUALIFICATIONS:
At least 3 years of relevant Executive Assistant experience.
Maintains a Professional, Polished appearance.
Should possess strong Microsoft Office skills (Microsoft Excel, Word, Outlook and PowerPoint) Excel is required daily and candidate must be strong.
Excellent follow-up skills, an eagerness to learn, and the ability to work independently as well as part of a team
Will require someone with excellent interpersonal and communication skills as well being comfortable dealing with all levels of company
Experience supporting Senior Executives in a dynamic setting
