We are looking for a dynamic and highly organized individual to join our team as a Receptionist & Administrative Assistant at Calcean Minerals and Materials, LLC. This role is key in supporting the daily administrative functions of the office while ensuring smooth operations across multiple departments. Key Responsibilities:
- Receptionist Duties:
- Greet and assist visitors, clients, and vendors in a professional and courteous manner.
- Answer and direct phone calls, ensuring clear communication between departments and external contacts.
- Manage and maintain the front desk area, ensuring it is organized and presentable at all times.
- Handle incoming and outgoing mail, packages, and other deliveries.
- Administrative Support:
- Perform general office duties, such as filing, data entry, and maintaining office supplies.
- Assist management with preparing reports, presentations, and correspondence.
- Coordinate and schedule meetings, conference calls, and appointments for team members.
- Act as a liaison between departments to ensure efficient communication and execution of tasks.
- Purchasing:
- Assist with purchasing supplies and materials, ensuring timely orders are placed to maintain inventory.
- Communicate with vendors to verify product availability, pricing, and delivery schedules.
- Software Development Assistance:
- Support the software development team by assisting with documentation, testing, and data management.
- Help track software development progress using project management tools (such as Monday.com) to manage timelines, deadlines, and deliverables.
- Provide support in organizing and maintaining project files, issue tracking, and software deployment tasks.
- Order Entry & Customer Support:
- Process customer orders accurately and efficiently, ensuring proper documentation is maintained.
- Enter orders into the company’s ERP or order management system (Monday.com).
- Coordinate with the shipping department to ensure timely order fulfillment and delivery.
- Other duties as assigned.
Qualifications:
- High school diploma or equivalent required; associate’s degree or higher in business administration or a related field preferred.
- 2 years of experience in an administrative or receptionist role, preferably in an industrial or manufacturing setting.
- Experience using project management software like Monday.com to track tasks and project timelines, order fulfillment, etc.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with ERP or order management systems and basic purchasing processes.
- Experience in providing administrative support to software development teams is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem-solving ability.
- Ability to maintain confidentiality and professionalism at all times.
- Previous experience in a customer-facing role or order entry is preferred.
