About the Role:
Calculated Hire is seeking a dedicated and organized individual to join our Fortune 10 client’s team as an Environmental Risk Management Program Admin. In this role, you will play a crucial part in supporting the Environmental Risk Management program. The successful candidate will work closely with various stakeholders, coordinate high-stake engagements, manage internal project management mechanisms, support the automation of the program, and assist in administrative tasks for external consultants. Key Responsibilities:
Stakeholder Engagement (50% - up to 70% in peaks):
- Support high stakeholder engagement workload for environmental risk (across EU5, NA, Aus, and Singapore).
- Identify appropriate points of contact (POCs) within the business using internal directories and Wiki pages.
- Schedule meetings and workshops, including coordination with executive assistants for leadership participation.
- Prepare documentation requests and workshop materials.
- Conduct stakeholder mapping to ensure effective engagement.
- Record meeting minutes and distribute them along with action items.
- Track and follow up on action items, data requests, and other related tasks
Internal Project Management (20%):
- Develop and scale internal project management mechanisms.
- Facilitate the tracking and closure of action items, data requests, and liaise with external parties.
- Collaborate with teams in Sustainability, Science, Finance, and Accounting to ensure smooth project coordination.
Program Automation Support (10%):
- Contribute to the overall workload and coordination of automating the Environmental Risk Management program into a custom Amazon-built product.
Admin for External Consultants/Contractors (10%):
- Assist in administrative tasks related to external consultant and contractor usage.
- Coordinate external data licensing, contract liaisons with Legal, and financial tasks with Finance.
- Support onboarding procedures for new consultants onto Amazon systems.
Ad-Hoc Tasks (10%):
- Provide assistance for various ad-hoc tasks as needed within the Environmental Risk Management program.
Qualifications:
- Bachelor's degree or equivalent experience.
- 3 years of project administration/management experience
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- ESG or Sustainability experience strongly preferred
- Experience in Asana or a similar PMS is a plus
- Prior experience in program management or project coordination
- Familiarity with environmental risk management or related fields is a plus
