OVERVIEW: The Central Falls School District is seeking to hire a 12-month hourly School Secretary for Calcutt Middle School. The individual must be able to demonstrate an understanding of school-based office management and operations and have at least five years of experience in an office setting. This position is a Council 94 position and the selection of the most qualified candidate will be based on BOTH seniority and the ability to demonstrate mastery of essential job functions and responsibilities based on at least five years of office management experience. Duties/Responsibilities
Oversee the operations of Calcutt Middle School’s main office, including the flow of services, the functionality of tasks/responsibilities, the effectiveness of systems/processes, and the efficiency of daily routines and task completion.
Promote positive public relations for the school and the district while ensuring that day-to-day operating systems are functioning without delays.
Act on behalf of the assigned administrator(s) in their absence (e.g., questions, concerns, complaints) for the purpose of conveying and/or gathering information required for their functions in a timely manner.
Oversee day-to-day office activities, tasks, and practices at assigned school locations for the purpose of ensuring that all activities are completed in an accurate and timely manner.
Coordinate a variety of projects, functions, and/or program components (e.g., facility usage, guest teachers, in-service events, and travel accommodations).
Manage the daily substitute activities (certified and non-certified) for the purpose of ensuring that staff absences are covered in a timely manner and that student safety and educational process needs are met.
Provide secretarial assistance to the Principal and/or other administrators as assigned; maintain appointment calendar; and schedule meetings. Compile data for and prepare reports and other documents per the request of the Principal. Format, type, and edit reports, memorandums, and handwritten drafts from the Principal.
Maintain a wide variety of manual and electronic documents, files, and records (e.g., student registration data, student health forms, master calendar, employee records, and operating budget) for the purpose of completing activities and/or delivering services in a timely fashion.
Ensure the building is supplied with necessary materials based on staff needs to meet student outcomes and building success. (This includes ordering all items, inventorying all items, and being proactive about orders.)
Compose various documents (e.g., correspondence, agendas, minutes, newsletters) to ensure that purposeful communications are in place to inform guidelines, decision-making, and operational best practices.
Organize data from multiple sources to process information in compliance with financial, legal, and/or administrative requirements.
Other such duties as assigned by the Principal.
