JOB TITLE: Medical Assistant
DEPARTMENT: Caldwell Medical Associates
REPORTS TO: Clinic MA Supervisor and Specialty Clinic Manager
POSITION SUMMARY:
- Assisting patients in all aspects of their care.
- Performs certain nursing procedures under the supervision of the Supervisor or Physician (i.e. recording of vital signs, weight and height, giving injections and drawing of blood).
- Also performs testing for the following: Breath Alcohol, Drug Screens and audiograms.
- Works closely with physicians, office staff, patients, families and visitors.
POSITION RESPONSIBILITIES
ESSENTIAL FUNCTIONS:
- COMMUNICATION
- Communicates effectively with patients, staff, insurance companies, pharmacies and suppliers.
- Visible to all patients in waiting area while calling patients to exam room.
- Voice tone is professional and courteous at all times.
- Identifies self by name and department when answering the phone.
- Notifies patients of office delays and check on patients in exam rooms during office delays.
- CONFIDENTIALLY
- Maintains all patient information with strict confidentially.
- Conducts all verbal communication regarding patient care in a private area
- All chart lists are maintained (covered or turned) so that patient information can’t be read.
- Information on charts not exposed to public view.
- Appropriately disposes of all confidential patient information.
- Demonstrates ability to accurately convey explanations as necessary of lab and x-ray preparation.
- Patient Care Functions
- Accurately records vital signs.
- Obtains adult blood pressure and pulse on each visit.
- Obtains weight and records at each visit.
- Obtain height and BMI yearly and records.
- Obtains and records pain scale at each visit.
- Collects, labels and routes specimens.
- All allergies are verified on the front of the chart at each visit.
- Records patient notes in medical record according to protocol.
- Reviews charge tickets to assure accuracy and completeness and place tickets in appropriate area.
- Accurately completes requests for procedures such as Lab, X-ray, MRI, etc.
- All patient messages and escripts are addressed before the end of the day. Escript, calls or faxes all prescriptions.
- Familiar with use and care of the defibulator including daily checks and yearly maintenance.
- Maintains up to date BLS certificate.
- Performs other duties as assigned.
- Cross-trains in other departments as time permits.
- Certified to perform Audiograms (must pass recertification every six years) and completes audiometric forms adhering to guidelines established by the Occupational Hearing Conservationist Program.
- Performs drug screens, completes chain of custody and service requisition paperwork.
- Performs venipuncture and processes lab specimens for transport.
- Performs urine pregnancy test, sedrates, fingerstick H&H, urinalysis, rapid strep test, fingerstick glucose, flu test, FSINR, PFT, stool for occult blood, pulse oximetry and PPD administration and resulting on site. Also administers nebulizer prescriptions prn.
- Performs EKG’s and monthly maintenance of machine.
- Assist physician with and sets up surgery room for vasectomies, colposcopies, removal of casts and other minor surgeries.
- Performs breath alcohols and maintains all pertinent records.
- Orders lab, front office and medical supplies as necessary. Also orders vaccines and maintains inventory and checks for expired vaccines.
- Responsible for pulling all ancillary reports, lab, x-ray, correspondence, etc. with medical record and placing for provider review.
- Trained to complete all paperwork for Occupational Exams, pre-employment, CDL’s, FMLA and disability forms.
- Familiar with the use and care of the audiometer and coordinates yearly calibration and maintenance.
- Familiar with the use and care of the Oxygen tank including maintenance.
- Daily microscope care and maintenance.
- Daily PFT care and maintenance.
- Yearly biohazard and blood borne pathogen training.
- Returns expired vaccines for credit.
- Maintains KIP vaccine stock, expiration, returns and monthly reconciliation/order.
- Yearly KIP visit and records
- PQRS and each visit
- Insurance precert and referrals online, phone and fax.
- Maintain up to date vaccine info sheets
- Performs ear irrigation
- Maintain allergic reaction kit.
- Enters childhood vaccination information into the Kentucky State Registry and monitors for up to date status on children.
- Maintains patient information packets and originals
- Sterilizes instruments and maintains expired and resterilizes prn.
- Download, type and print transcription as needed.
- Yearly fire extinguisher maintenance.
- Maintains up to date notary seal, drug screen collecting training, audio training and breath alcohol training.
- Completes drug prior authorizations.
- Orders IUD’s and other supplies from specialty pharmacies.
- Complete paperwork for home health certifications and recertifications, face to face.
- Complete charge tickets for nursing home visits and hospice.
WW. Schedule office appointments, reschedule, cancel, etc.
- ENVIRONMENT
- Provides a safe and clean environment for patient care.
- Flat surfaces are cleaned at the end of the day.
- All items are checked monthly for expiration dates.
- Sharps containers are maintained at a safe level.
- Only items contaminated with blood or body fluids are disposed in hazardous waste containers labeled Bio-Hazard.
- All dirty linen is returned to appropriate area. All laundry done on site prn.
- Exam rooms are stocked with necessary supplies and re-ordered when low.
- All solutions in secondary containers are labeled with product information.
- Follows hand washing protocol.
- Applies, removes and disposes of non-sterile gloves according to protocol.
- Checks refrigerator temps and records daily.
- Performs lab controls (i.e. strep, glucose, etc.)
- Yearly checks Breath Alcohol equipment maintenance and recalibrates annually.
- Verifies expiration date on sample drugs monthly and monitors drug sample log to ensure samples are being logged in by drug reps and are logged out when given to patients and records in patient chart.
- Building maintenance(commodes, nails, etc).
- MEDICATION/SOLUTIONS
- Medication/Solutions are stored accordingly.
- Any injectable drugs in a multi-dose vial will be dated and initialed upon opening and discarded when expired.
- Assures all sample drugs are stored and dispensed accordingly.
- Performs other duties as assigned.
POSITION QUALIFICATIONS
MINIMUM EDUCATION
High School Diploma or GED
MINIMUM EXPERIENCE
Prefer 6 to 12 months of related experience
