SUMMARY
Assist the Justice of the Peace and the Chief Clerk in the preparation and maintenance of documents relating to Justice Court, including but not limited to Criminal, Civil and Juvenile cases. Manages and operates the court in the absence of the Judge. Ensures all appropriate cases are set for hearings in a timely matter. Enforces office procedures as set forth by the Judge which will result in the efficient use of time and which will enhance the operation of the Court.
SUPERVISION RECEIVED
Works under the general supervision of the Justice of the Peace and the Chief Clerk.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs receptionist duties such as greeting and assisting customers in person, by telephone or by email to explain procedures, fines and forms, taking messages, making appointments.
- Receives filings for court cases and enters into case management system on computer.
- Verifies transaction and balances out at the end of the weekly reporting period.
- Prepares weekly and monthly receipts & deposit register and submits to the Treasurer’s office for deposit.
- Collects and processes fines, court costs and filing fees received by mail or in person.
- Performs routine clerical duties such as typing, filing, mailing, faxing and answering telephones.
- Post payments to proper cases and issues a receipt for each payment. Closes out cases with the proper judgment and enters proper disposition.
- Prepares and processes a variety of official document such as citations, judgments, warrants, complaints, affidavits, routine reports, subpoenas, notices jury list and form letters.
- Performs other duties as assigned.
- Prepares the court room and assists the Judge during open court proceedings.
- Prepares proper documents for the Judge’s signature.
- Monitors time frame on all criminal case (payment plans, driving safety course, deferred disposition etc.
MINIMUM QUALIFICATIONS
EDUCATION and/or EXPERIENCE
- High School or General Education Development (GED) certificate, and one year clerical experience in an office environment; or an equivalent combination of education and experience
- May be required to serve as Notary Public
- Must secure and maintain a favorable background investigation by the Caldwell County Sheriff's Office.
- Must have strong computer skills
- Knowledge of office procedures; knowledge of cash account management procedures. Ability to effectively respond to customer questions and complaints; ability to operate personal computer, typewriter, 10-key adding machine and basic office equipment; ability to establish and maintain effective working relationships with co-workers, judges, County employees, attorneys and the general public
OTHER SKILLS AND ABILITIES
Microsoft office suits(i.e. email, word, excel), and data base programs; prepare clear and concise records, reports, correspondence and other written materials; exercise independent judgment within general policy guidelines; establish and maintain effective working relationship with those contacted in the course of work
LANGUAGE SKILLS
Read and comprehend simple instructions, short correspondence, and memos ; able to write detailed correspondence; effectively present information in one on one and small group situations to elected officials, department heads, vendors, and senior managers and supervisors within the County.
