What are the responsibilities and job description for the Executive Administrative Assistant to the President position at Calhoun Community College?
Provide high-level administrative support by conducting research, preparing statistical reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Salary: Appropriate placement on ACCS Salary Schedule C3, Grade II: $63,547 - $88,772
Work Hours: Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

- Assist the President in administrative operations.
- Manage and maintain the President's schedule.
- Receive, input and process paperwork ensuring items are submitted in a timely manner.
- Operate Excel or other database software to track, sort, format and analyze data for a variety of purposes including reporting and data analysis.
- Create, proof and edit presentations in PowerPoint or other presentation software.
- Gather reference materials for articles or speeches from a wide variety of sources and prepare speeches and presentations for the President.
- Coordinate with Public Relations regarding special events.
- Discern when confidentiality in work needs to be maintained and maintain that confidentiality.
- Arrange conferences and staff meetings; prepare agenda, take minutes, and follow up on meeting action items.
- Screen callers and visitors in accordance with predetermined policy; maintains a schedule of appointments.
- Conduct studies and collect information on administrative problems; analyze findings; makes report of practical solutions.
- Collect, analyze, and compare data and trends; prepare reports including observations, conclusions, and recommendations.
- Alert supervisor of any issues that are in need of attention.
- Recommend ways to improve processes and or procedures for more efficient operations.
- Utilize computer programs to mail merge documents and create labels.
- Perform all duties with professionalism.
- Coordinate and assist with preparation of the yearly budgets.
- Proof and edit correspondence and documents.
- Input and process purchase orders as well as other information into Banner.
- Implement and maintain filing systems.
- Order supplies.
- Type and transcribe letters, memos and other correspondence or written documentation.
- Coordinate the work of work-study and part-time employees.
- Screen and route incoming mail including email.
- Submit maintenance work orders.
- Serve as policy review analyst.
- Identify policy areas, collect and analyze information then report findings and propose policy updates.
- Maintain active State Board of Trustee policies in an effort to ensure the College’s policies and procedures are in compliance.
- Other duties as assigned.
MINIMUM EDUCATION and/or EXPERIENCE
- A minimum of a Bachelor’s degree from an accredited institution and a minimum of five (5) years administrative support experience is required.
- Ability to utilize Excel or other database software (such as Access) to enter, format, sort and analyze information and prepare reports is required.
- Ability to utilize Word or other word processing tools to prepare and communicate information is required.
- Ability to access and operate video conferencing software is required.
Preference will be given to candidates who can demonstrate through their experiences and accomplishments:
- Extensive knowledge of Alabama Community College System and institutional policies and procedures; ability to exercise judgment and discretion in applying and interpreting institutional policies and procedures.
- Extensive knowledge of the principles and practices of public administration; ability to initiate and implement administrative procedures and evaluate their effectiveness.
- Knowledge of community college policies and procedures.
- Knowledge of research techniques and report writing.
- Knowledge of the principles of personnel administration and budget preparation.
- Ability to plan, assign, direct, and review the work of others.
- Ability to maintain confidential information.
- Ability to assist with legal matters regarding human resources, ACCS Board of Trustees action items, and Board of Adjustment items.
- Ability to work effectively with the Chancellor’s Office staff, ACCS Board of Trustees, elected officials, College Foundation members, and colleagues throughout the College.
- Knowledge of rules of grammar.
- Knowledge of generally accepted office practices and procedures.
- Knowledge of FERPA.
- Skill in operating a mouse to control a computer.
- Skill in operating a computer including tablets.
- Skill in utilizing a multi-line phone system.
- Skill in operating a fax machine, copier, scanner, calculator printer, camera and typewriter.
