Job Duties:
Key member of management team responsible for general accounting, regulatory compliance and office management. A team player.
· 40% General Accounting and Bookkeeping
* Bookkeeping. Performs all bookkeeping in QuickBooks Online, to include
* timely preparation of financial statements,
* billing and invoicing,
* estimates,
* AP and AR and reports from the system, as requested by management
* Payroll. Performs payroll data entry and oversees our vender ADP.
* Maintains accounting files in a neat and orderly manner.
* Assist in preparing the program’s annual financial statement
· 40% Regulatory Compliance.
* Income Tax Prep. Assist outside CPA firm in preparing the company’s federal and state taxes and reports.
* Tax Payment. Coordinates payment of annual taxes due and quarterly estimated tax for forward year.
* Sales Tax Administration. In coordination with CPA firm, prepares and pays state sales taxes in approximately 15 states (paid
annually, quarterly, or month depending on the jurisdiction.)
* OSHA. Works as part of management team to ensure OSHA compliance. Responsible for annual OSHA reporting and
maintaining files and correspondence.
* DOT. As a registered company, works as part of management team to ensure DOT compliance. Administers a program to
ensure driver maintains compliance, complies with drug and alcohol testing. Keeps accurate records as required by law.
* Workers Comp. Provides information to Workers Comp carrier for annual audit information. Lead person for coordinating
workers comp reporting.
* Maintains and updates Safety Data Sheets in print and electronic files.
* Coordinates with colleagues for necessary local inspections of manufacturing facility. Maintains records.
* Schedules annual forklift and other safety training, using pre-prepared video training provided by insurance carriers. Maintains
records.
· 20% General Office Management – responsible for the smooth administration of the office and office staff in support of
manufacturing operations.
* Maintains personnel files and operations policies and procedures in a neat and orderly manner. Maintains the strictest
confidences.
* Processes new hires and ensures compliance with new hire reporting requirements.
* Phone Screening. Answers customers’ calls and directs to the appropriate colleague, as necessary.
* Safety Program. Works collaboratively on company safety program, ensuring training is documented and records are kept.
* Oversees office administration, to include coordination of outside IT support, cleaning services, pest control and other such
duties.
* Provides information to ensure certification as a drug-free workplace.
* Maintains insurance information and provides proof of insurance to General Contractors, working in coordination with Company’s
insurance agency.
* Monitors employee benefits, including paid time off.
* Ensures the inventory of office supplies and printed materials is maintained.
* Provides for maintenance of office machines (e.g., printer, copier, fax, phone system) as needed.
* Provides additional administrative support, as needed.
Requirements:
- Demonstrates the highest integrity and honesty, to present accurate and appropriate information, and to exercise excellent judgment in regard to confidential information
- Outstanding interpersonal and communication skills, both oral and written
- Bachelor’s degree in accounting or related field
- Minimum (5) five years work experience as a bookkeeper, preferably in a privately held business
- Experience in the construction or manufacturing industry a plus
- Proficient in QuickBooks Online, Microsoft Excel, Microsoft Word
- Minimum of five (5) years QuickBooks experience preferred
- Experience managing an annual budget process
- Highly organized and able to multi-task
- Efficient in an environment with evolving priorities
- Works well independently as well as with a team; an unselfish leader
- Detail oriented; pays attention to the critical details and makes appropriate priorities
Job Type: Full-time
Pay: $54,000.00 - $74,000.00 per year
