Job Title: Administrative Assistant Financial Services

Located: Tigard, OR

Job Description:

Our Calibrate Wealth Advisor’s office in Tigard, OR is looking for a teammate to take responsibility and ownership of the day-to-day operational functions of the practice. The Administrative Assistant plays a key role in serving our clients and will be responsible for handling all incoming client calls, managing the client relationship management system, scheduling appointments for advisors, maintaining paperwork, and managing workflows.

The ideal candidate for this role is reliable, resourceful, a good problem solver, organized and has acute attention to detail. Demonstrating a steady completion of workload in a timely manner is key to success in this position. Client service and establishing strong relationships with clients is a top priority. This position provides a wide variety of administrative, business processing, and support functions essential to leveraging the Advisor’s time. The ideal candidate will create a consistent and predictable work environment that is positive for the firm's clients and success.

Essential Duties and Responsibilities include but not limited to:

  • Prepare and complete new business paperwork, compliance submissions, manage workflows, ensure deadlines are met, and complete work accurately
  • Manage & Maintain the Client Relationship System (CRM)
  • Answer incoming calls, take messages, field routine questions and follow-up
  • Schedule and coordinate client, advisor, and office meetings
  • Emails, reports, and general client correspondence. Mail letters and documents to clients & vendors
  • Organize, file, and maintain electronic and hardcopy paperwork
  • Support advisor with client meeting preparation and subsequent follow up activities
  • Handle and maintain client’s personal information and data entry projects with diligence, accuracy, and confidentiality

Competencies:

  • Exceptional communication skills, both verbal and written
  • Superior organization skills and dedication to completing projects promptly
  • Detail-oriented and comfortable working in a fast-paced office environment
  • Proficient in MS Office with expertise in Microsoft Word, PowerPoint, Excel, and Outlook
  • Proficient with and/or ability to quickly learn industry-specific financial planning software programs such as Morningstar Advisor Workstation, eMoney, Client Relationship System (CRM), LPL ClientWorks, and Trading Platforms
  • Enthusiastic, coachable, and positive attitude towards work and others
  • Self-starter, resourceful, and requires little supervision
  • Customer-centric, outgoing, professional
  • Strong personal integrity and discretion

Education and/or Experience:

Associate degree or higher degree in business related field or equivalent related experience and/or training is required. An overall understanding of the investment industry and how a financial advisor conducts business is preferred.
