What are the responsibilities and job description for the Dispatch Coordinator-Part Time position at CALIFORNIA AERONAUTICAL UNIVERSITY?
CAU is Looking for someone who can work Saturday and Sunday from 5:30a.m to 2:00p.m. 16 hours total.
SUMMARY: The Dispatch Coordinator will assist with a wide variety of administrative and office activities. This position participates in a busy organization and helps complete special projects and events as well as day- to-day activities and duties.
The Dispatch Coordinator must uphold the philosophy and mission of the University while instilling a positive and progressive attitude in all students and employees.
JOB REQUIREMENTS include but are not limited to the following:
COMPLIANCE:
- Responsible for compliance with all local, state, accreditation, and federal regulations
- Ensure completeness, accuracy, and security of campus files, documents, and reports.
- Ensure and maintain compliance with all company policies and procedures.
- Responsible for complete and accurate timekeeping
ESSENTIAL DUTIES:
- Conduct all duties and responsibilities ethically and professionally.
- Maintain the highest ethical and professional standards in education
- Job duties as assigned pertinent to opening, mid-shift and closing shift duties.
- Documentation and uniform check prior to student flight activities.
- Ramp in and out of all flight student training activities.
- Keep an accurate and timely dispatch logistics sheet.
- Manage the Standby List for all locations.
- Maintain a complete and accurate dispatch log by annotating all extraordinary dispatch events.
- Frequently check messages throughout the hour and process all cancellations as needed.
- Protects the aircraft keys, binders, and Airport AOA by securing access.
- Record all aircraft discrepancies and refer to the maintenance department.
- Ensure that all open activities are completed.
- Assign destinations to students for aircraft swaps.
- Work closely with the line department to ensure efficient operations including fuel and oil orders, communicating any flight changes if applicable and any other line department coordination.
- Follow Emergency Response Plan for all declared emergencies declared.
- Post schedule prior to dispatch closing.
- Ensure that all aircraft with upcoming maintenance events are made available for maintenance and communicate any upcoming maintenance or repairs with the maintenance supervisor.
- Assist students and instructors with general flight scheduling questions and refer specific flight scheduling change requests to FlightScheduling@calaero.edu.
- Other duties as assigned.
QUALIFICTIONS AND REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:
Experience in customer service in aviation is preferred. Associate degree (AA) or equivalent, or six months to one-year experience and/or training; or equivalent combination of education and experience.
OTHER SKILLS AND ABILITIES:
Ability to interact in a pleasant and professional manner with students, instructors, CAU staff and CAU leadership. Ability to work well under pressure, manage multiple priorities, set, and meet deadlines and manage unexpected situations. Strong technology skills required.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret business communication, financial reports, legal documents, and government issued reports where applicable. Ability to respond to common inquiries and/or complaints from students, regulatory agencies, or members of the business community. Ability to write in commonly accepted business correspondence style. Ability to efficiently present information to students, instructor, upper management and/or public entities, where applicable.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to computer percentages and to create/interpret charts and graphical depiction of analytical data.
REASONING ABILITY:
Ability to define problems, collect data, establish factual basis, and draw valid conclusions. Ability to interpret a variety of complex instructions and manage multiple abstract or concrete variables.

While performing required job duties the employee is required to converse and listen simultaneously. Part of these duties require the employee to sit and handle a computer keyboard and place/answer phone calls. The employee is required to stand, walk and reach utilizing arms and hands. The employee must occasionally lift and/or move items weighing up to 25 pounds and coordinate for any movement of items for items exceeding 25 pounds to include setup of company displays for various events. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the availability to adjust focus.
