What are the responsibilities and job description for the Enrollment Operations Coordinator position at California College of the Arts?
Under the direction and report of the Associate Director of Graduate Admissions and Operations, the Operations Coordinator supports engagement efforts, event project management, and operations event logistics as part of the recruitment, admissions, and enrollment cycle at CCA. This role is also responsible for coordinating engagement items through various CRM and Student Information Systems (SIS) and maintaining inventory and distribution of marketing materials.
MAIN RESPONSIBILITIES:
Communication & Engagement - 35%
Under the direction and guidance of the manager, coordinate all event communications and plans in both Workday and Salesforce from preexisting templates
Maintain and monitor invites and reminders to target audiences for approximately 2 events per week, but up to 10 per week during peak recruitment season
Ensures professional, consistent, organized communication to recipients for invites
Update communication items as needed
Deploy communications to appropriate recipients via Salesforce and Workday
Using templates and previously developed resources and working within the strategy developed by the manager, build engagement items to promote a prospective student’s smooth progression through the recruitment cycle from inquiry to enrollment.
Coordinate various recruitment and admissions engagement items across email, texting, print, and web, including application process messaging, inquiry/admit/yield/enrollment engagement stream items, and ad-hoc messaging to targeted groups as needed to support admissions and enrollment goals.
Build emails in Salesforce CRM and Workday SIS, using WYSIWYG and text editors
Monitor engagement plans in Salesforce and Workday for timing, audience accuracy, and deliverability and report any discrepancies to manager.
Partner with the Enrollment Operations team to create and maintain recipient audiences in Workday
Event Setup and Support
Provide administrative support for Admissions events, including live support during virtual events
Provide support in the administration of event registration platforms
Print Material Management & Event Logistics
Partner with admissions counselors to prepare and distribute materials for offsite events
Partners with the business office to process any events-related expenses
Coordinate with mailhouse for bulk mailings
Maintain inventory of printed marketing materials
Provide in-person administrative support for all on-campus events when necessary
Project Management - 35%
Work with counselors to manage TWPs for events (recruitment visits / admitted student off-site events, and the CCA campus tour program, including group tours)
Partners with Admissions Counselors and the Marcom team to plan for and track physical and digital collateral using Google Docs and Asana
Operations and Data Assistance - 25%
Responsible for the preparation of data files; performs data entry supporting admissions operations
Conducts regular audits of data in Workday to support a clean data environment and encourage the completion of applications for admission
Partners with the Enrollment Management Operations team and Records Office with data entry to prepare transfer applicants for processing
Other - 5%

MINIMUM QUALIFICATIONS:
Experience in an administrative role and strong administrative skills required
Experience with spreadsheets (Excel, Google Sheets), data entry, and contact record management systems strongly preferred
Bachelor’s degree preferred
Experience in college admissions or student services, or marketing & communications strongly preferred
Experience coordinating event logistics and enthusiasm for creating a positive student experience in all engagements
Excellent written and verbal professional communication
Strict attention to detail and ability to use good judgment
Takes initiative and owns processes
Process-oriented problem solver
Experience using CRM software is preferred but not required. Training will be provided.
Ability to think critically and work within a process-oriented environment
Ability to work successfully in a team environment with diverse individuals, including staff, student, faculty and the public

COMPENSATION & BENEFITS:
The range for this position is $26 - $26.52/hour
CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. POSITION DETAILS:
CCA considers a full-time work week to be 37.5 hours per week.
Work Mode: Hybrid
Schedule: Mon-Fri, 8am-4:30pm
This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.
