ASSOCIATE QUOTATIONS & SUBMITTALS COORDINATOR*

JOB SUMMARY
The Associate Quotations Developer/Submittal Coordinator is responsible for reviewing and analyzing bid specifications to ensure all necessary information is gathered for a competitive and successful project bid. In addition, this role manages and organizes submittal documentation to enhance efficiency and provide an exceptional customer experience.
Responsibilities
Quotes:
Review mechanical and plumbing plans to identify products for bidding and apply critical thinking for complex scenarios.
- Extract relevant documents from online exchanges, contractor FTP sites, and other electronic sources for accurate pricing.
- Estimate equipment costs, apply pricing standards, and prepare competitive quotations in line with company guidelines.
- Provide timely quotes to customers via fax or email.
- Actively monitor potential bids and stay informed on new projects.
- Collaborate closely with outside sales engineers and branch offices to align with regional sales strategies.
- Maintain clear communication with the Business Development team, sales engineers, and supervisors regarding bids, accounts, and special pricing situations.
- Deliver excellent service to customers, vendors, and sales engineers.
- Stay current on new product offerings and industry developments.
Submittals
- Prepare and deliver accurate product submittal data to customers in a timely manner.
- Update master submittal templates for new or existing products.
- Maintain organized electronic records by saving all correspondence and work in master CHC job file folders.
EDUCATION AND EXPERIENCE
Required
- Strong critical thinking skills with attention to detail, organization, and patience.
- Ability to read plans and specifications to compile accurate mechanical and plumbing equipment take-offs and summaries.
- Proficient in computer software including Microsoft Outlook, Excel, Word,
- Excellent communication skills in English (speaking, reading, and writing).
- Ability to prioritize tasks effectively, meet bid deadlines, and handle multiple responsibilities with attention to detail.
- Dependable, highly organized, and professional with a pleasant personality.
- Positive attitude and willingness to learn.
Preferred
- Education: High School diploma required; college preferred.
- Salesforce, and technical sizing or estimating tools preferred.
