Summary:
The Human Resources Coordinator provides support to all key Human Resources functions.
Responsibilities:
- Coordinate start dates and arrival instructions with candidates, ensuring all necessary paperwork and screenings are complete
- Assist with recruitment and interview process as requested by HR Director
- Submit online requests for background checks and verification of employment, following up on any outstanding items or discrepancies to ensure timely completion
- Initiate the onboarding process and prepare all required new hire documentation.
- Review of onboarding paperwork, including background checks, I-9, transcripts and certifications taking necessary actions after review with HR Director
- Conduct new hire orientations as needed
- Assist with tracking benefit enrollment, invoice reconciliation and auditing proper deductions
- Assist with leave tracking and preparation of paperwork
- Support with payroll processing, including the review of employee timecards for accuracy and compliance with timekeeping policies
- Monitor and track employee meal break compliance
- Create and maintain employee files
- Electronic naming and filing of documents to ensure accuracy and consistency
- Assist with audits to clean up files
- Submit employee data reports when requested from management
- Monitor and track new hire training statuses and follow up when needed
- Audits IT certifications to identify upcoming expiration dates, request renewals, and follow up to ensure validity
- Assists with the preparation of the performance review process
- Respond to inquiries of employees and verifications of employment
- Assist with scheduling meetings and trainings as needed
- Recommend and assist with company events, wellness programs and morale initiatives
- Act as a champion employee participation in all HR initiatives
- Prepare and process exit paperwork
- Maintains and protects operations by keeping human resource information confidential
- Must be a role model for the company’s culture and provide great customer service to internal and external customers
- Performs other clerical functions as assigned

Requirements
- Bachelor’s degree and HR certifications preferred
- Preferred at least 2 years of relevant work experience in Human Resources
- Experience with Paylocity a plus
- Knowledge of human resource practices and understanding of federal and state of California, and local employment laws and trends. State of New Mexico a plus
- Experience with multi-state labor laws and compliance preferred
- Strong written and verbal communication skills; excellent attention to detail and strong planning abilities
- Strong organizational and communication skills and the ability to manage multiple and rapidly changing priorities to meet the needs and expectations of this position
- Self-motivated with a strong work ethic; dedicated to quality, quantity, and timeliness of results
- Able to handle sensitive information with a high degree of confidentiality
- Possess high ethical standards, being an example of professionalism to others
- Demonstrated ability anticipate needs and exercise independent judgment
- Excellent organizational and communication skills
- Excellent analytical skills, problem resolution skills and general business acumen
- Proficient skills in MS Office software products, including Outlook, Word, Excel, PowerPoint, and MS Project and ability to learn additional software products

- Position may require work responsibilities outside of normal business hours to accommodate business needs and deadlines
- Reliable transportation to go on campus, attend company events, seminars/trainings, if required

Position Type and Expected Hours of Work
Days and hours of work are Monday through Friday. Occasional weekend and evening hours may be required.
Supervisory Responsibility

- Essential functions of this role require sitting for extended periods of time

- The employee will frequently be required to use the computer, mouse and telephone to conduct the regular tasks of this role
- The employee will be required to compute simple to simple mathematical calculations as a normal part of this role
- May require occasional travel to conduct CIAT business
- Must be able to lift, carry, and transport items up to 15 pounds and handle setup for events as required

Salary Range
The salary range for the Human Resources Coordinator is $24.00-$32.00 hourly/DOE. However, the expected starting salary for this position is $24.00-$27.00 hourly/DOE. We base salary offers on a variety of considerations, such as education, experience, equity and other business and organizational needs.
