SALARY RANGE: $70,000.00 - $85,000.00
POSITION SUMMARY:
Works closely with the VP of Governance and Director of Governance to develop, implement, communicate and maintain governance bodies, such as the Executive Committee, Board of Trustees, House of Delegates (HOD), Councils and Subcommittees, Committees of the Board and HOD, and Sections/Forums. Coordinate supporting or ancillary tasks related to Association governance. Creates rosters, tracks terms, processes reimbursements and travel requests, formats resolutions and reports, manages work calendar and team reminders, assembles meeting materials, coordinates meeting logistics, updates policy compendium, posts items to the website and tracks events and involvement through database management, and provides both behind the scenes and direct customer support to Governance meetings. Oversee the procedures and policies concerning the operation and conduct of governance operations or bodies assigned.
DUTIES/RESPONSIBILITIES:
- Will provide direct support to several of the following: assembly, delegation, committee, section, or forum, as appropriate, including joining calls that may be scheduled outside of typical business hours. This can include leadership/stakeholder engagement, agenda development, materials assembly and creation, and other supporting tasks.
- Manages calendars, due-dates, team reminders, and other administrative functions for key deliverables/outputs. Ensures effective information flows within the governing bodies and between non-executive staff and management to ensure compliance with CMA’s policies.
- Responsible for the creation and updating of rosters, database entry for all governance bodies such as the Executive Committee, Board of Trustees, House of Delegates, Councils and Subcommittees, Committees, among others. Tracks terms of elected officers, as appropriate.
- Works closely with the Governance team to provide meeting logistics, and on-site support items for all governance functions; including but not limited to; registration and RSVP-tracking of attendees, creation of name badges or name tents, arrangement of meal functions or room/facility logistics in coordination with the Meeting Planner, distribution of updated materials, and signage
- Maintains content for online areas for the Governance department, including landing pages, posting of deadlines, agenda materials and minutes, maintenance of the policy compendium. Works with Communications to ensure timely emails or digital alerts are sent to members on governance issues.
- Formats and compiles resolutions, reports and other meeting materials. Checks for accuracy and appropriateness of materials prior to distribution.
- Coordinates meetings for governance bodies, including planning activities with leaders or staff.
- Processes reimbursements and helps to oversee and develop the budget for various governance bodies.
- Other duties as assigned.
CONTACTS: Frequent contact with physicians leaders, component medical society officers and staff, and CMA staff
KNOWLEDGE/EXPERIENCE/EDUCATION:
- Bachelor’s Degree preferred
- Experience in organizational governance, interpreting policies and procedures,/ bylaws
- Strong analytical ability, attention to detail and organizational skills required
- Excellent writing skills required
- Strong communication skills and a customer service mindset required
- Agile problem solving and time management required
SUPERVISION:
Works under the guidance of Vice President of Governance.
EQUIPMENT OPERATION:
Proficiency in Microsoft Word, Outlook, Excel, and advanced proficiency in operating the Association Management Software (ClearVantage membership database). Will need to learn webside interface for keeping Governance areas up to date.
PHYSICAL REQUIREMENTS:
Normal office environment requirements and occasional travel to out-of-town meetings, such as the House of Delegates, as the schedule dictates. Light lifting and moderate walking required to support meeting set-up on occasion. Regular (generally at least once per month) after-hours availability will be needed for evening calls, as needed.
