California Online Public Schools: Educational Services Assistant
Position Summary:
We are seeking a highly organized and detail-oriented administrative assistant to support the efficient operation of our school’s educational services administrative processes. This individual will be responsible for maintaining and managing low level tasks in our Student Information System (SIS), ensuring accurate course audits, permissions, and data pulls, as well as handling staff, family, and student SIS login management. Additionally, the role will involve managing physical material orders, monitoring supplies, and performing other administrative duties within the district as assigned.
Essential Responsibilities:
- Student Information System (SIS) Course Audit: Regularly audit and verify course data in the SIS to ensure accuracy and alignment with school policies.
- SIS Permissions: Manage user access and permissions within the SIS, ensuring that appropriate staff, students, and families have the correct access levels.
- SIS Account Management: Oversee and maintain accurate login email information for students, and families, ensuring that they can log into the SIS.
- Physical Material Orders/Monitoring: Coordinate the ordering and tracking of physical materials, including textbooks, supplies, and other resources. Monitor inventory levels and ensure timely replenishment of necessary materials.
- Student Data Pulls: Regularly extract, analyze, and report student data from the SIS to support academic and administrative needs.
- Other Duties as Assigned: Assist with other administrative tasks as needed to support school operations and ensure smooth day-to-day functioning.
Preferred Qualifications:
- Ability to manage multiple tasks, prioritize effectively, and ensure deadlines are met without compromising quality.
- High degree of accuracy in data entry, reporting, and auditing to ensure that all information is correct and up to date.
- Comfort with using Student Information Systems (SIS) and other administrative software.
- Experience with Google Workspace, Microsoft Office Suite, especially excel, and basic data analysis tools.
- Ability to troubleshoot issues related to the SIS, email systems, material orders, and other administrative processes.
- Clear and professional written and verbal communication skills, with the ability to work effectively with staff, students, and families.
