Job Title : Surgery Scheduler
Location : Ambulatory Surgery Center (ASC)
Job Summary : The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures in an ambulatory surgery center (ASC). This role ensures that surgeries are scheduled efficiently, accurately, and in a timely manner, and works closely with patients, surgeons, medical staff, and insurance companies to ensure smooth operations and patient satisfaction. The Surgery Scheduler will also be responsible for obtaining necessary patient information, verifying insurance details, and managing the surgical schedule to maximize operational efficiency.
Key Responsibilities :
- Schedule Surgical Procedures :
Coordinate and schedule surgeries based on surgeon availability, patient needs, and facility resources.
Ensure the appropriate operating rooms and equipment are allocated for scheduled procedures.Provide patients with pre-operative instructions and necessary documentation.Patient Communication :Contact patients to confirm surgery appointments, provide pre-operative instructions, and address any questions or concerns.
Notify patients of any changes to their surgery schedule.Ensure patients are aware of insurance and financial responsibilities prior to surgery.Insurance Verification and Authorization :Verify patient insurance information and obtain necessary authorizations for surgery.
Communicate with insurance providers to ensure approval for procedures and confirm coverage.Collect any co-pays or patient financial obligations prior to surgery.Maintain Accurate Scheduling Records :Enter and update patient and surgery details into the scheduling system.
Keep accurate records of surgery dates, times, surgeon assignments, and patient information.Track and manage any cancellations or rescheduling of surgeries, ensuring minimal disruption to the schedule.Coordination with Medical and Administrative Staff :Collaborate with surgeons, nurses, anesthesiologists, and other medical staff to ensure the surgical schedule is accurate and all necessary preparations are in place.
Assist with coordinating patient follow-ups and post-operative appointments.Monitor and Adjust Schedules :Address any issues or conflicts in scheduling, such as surgeon availability, equipment, or room issues.
Ensure that surgeries are scheduled within the required timeframes and that patients are seen promptly.Customer Service :Provide exceptional customer service to patients, ensuring they have a positive experience throughout the scheduling process.
Respond to inquiries regarding surgical procedures, financial obligations, and scheduling updates.Qualifications :
High school diploma or equivalent required; additional education or certification in medical office administration or a related field preferred.Prior experience in a medical office, ASC, or healthcare setting is preferred.Knowledge of medical terminology, insurance processes, and surgical scheduling procedures.Strong communication and organizational skills.Ability to manage multiple tasks and handle a high-volume schedule.Proficiency in computer systems and scheduling software.Ability to maintain patient confidentiality and handle sensitive information with discretion.Working Conditions :
Full-time position with potential for weekend or evening hours depending on surgery schedule.Office environment with regular interaction with patients, healthcare providers, and administrative staff.Physical Requirements :
Ability to sit for extended periods of time while performing administrative tasks.Occasional lifting of office supplies or medical records.
