Membership and Events Coordinator
Position Classification: Non-Exempt , Part-Time
Reports to: Sr. Manager of Member Engagement
Overview: The position assists the organization by supporting key membership, event, and volunteer management functions. This is a half-time position at 20 hours per week, with a flexible schedule and hybrid option (available after training).
Summary of Duties
- Update membership and event information in database and maintain accurate records
- In collaboration with the Sr. Manager of Member Engagement, conduct research to aid membership recruitment and retention
- Event prep support, including producing and organizing event materials (e.g. name badges, signage, office supplies, etc.), and assisting with event-related tasks and logistics as assigned, including ELEVATE and Seasonal Spectacular Prize Coordination, Seasonal Spectacular Exhibitor Badge Coordination and event communications, such as post-event thank yous
- Support volunteer management functions, including committee meeting scheduling, drafting minutes, and sending reminders to council and committee members
- General office administrative support as needed such as answering phones, responding to email inquiries, corresponding with members and volunteers, etc.

Desired Qualifications and competencies
- Three years minimum professional experience. Employment with a membership-based association or society (or other non-profit organization) is preferred but not required.
- Proficiency in Microsoft Office Suite, MS Teams, Zoom
- Experience with databases, such as with association management software, customer relationship management (CRM) databases, or other databases
- Valid California Driver’s license and proof of driving insurance
Working Conditions
This position is part-time, 20 hours per week. Flexible schedule available within standard office hours from 8 a.m. to 5 p.m., Monday through Friday. CalSAE staff work a weekly set hybrid schedule, with Monday, Tuesday, and Thursday in our Roseville office and Wednesday and Friday remote, with flexibility as needed to attend to personal and family matters; however, to facilitate effective onboarding, this position will primarily work in the office for the first three to six months. Occasional travel within the state to attend statewide and selected regional events required.
Compensation and Benefits
This is a part-time position with a hiring range of between $25 and $30 per hour depending on skills and experience. CalSAE also offers vacation, sick time and holiday pay for part-time employees (equal to 40 hours vacation accrued annually, 32 hours of sick leave, and 12 paid holidays for this position). This position is also eligible to participate in the 401k. CalSAE supports its staff’s professional development via educational opportunities such as conferences, education sessions, and virtual seminars throughout the year.

We are the “association for associations” aka the leader for the association community in California and Oregon. CalSAE strives to promote the success of its members by keeping them inspired and connected to the association community through a variety of events, education offerings, and networking opportunities.
