EMPLOYMENT STATUS: $27.00 / Hour

Position Summary:

CalTrout is seeking a detail-oriented, thorough, and highly organized project administrator to join our team. In this position, you will play a key role in managing the finances of our Shasta/Klamath program, including tracking and maintaining financial information for numerous grant-funded projects, processing vendor invoices, and preparing grant invoices. You will collaborate and communicate directly with the Shasta/Klamath Regional Administrator, Project Managers, and a team of Finance Managers in our San Francisco headquarters office.

Roles & Responsibilities:

•  Prepare monthly and quarterly invoices to agencies
• Manage vendor bill submissions to ensure timely invoicing to agencies, review bills for accuracy, and submit to Accounts Payable for processing
• Maintain calendar for timely submissions of invoices and reports
• Monitor grant timelines, expenditures, and grant/cost share requirements
• Maintain correspondence related to project components with grant agencies, subcontractors, and project managers
• Coordinate with San Francisco grants administration team
• Maintain tracking for payables and receivables
• Track personnel hours and expenditures
• Create and maintain up-to-date electronic records
• Assist with planning and scheduling meetings and notetaking when necessary
• Fulfill other duties as needed based on the office and staff needs

• Requirements & Qualifications:
• Two years experience in nonprofit, government, or small business administration
• A passion for Caltrout’s mission and strategy of solving the state’s complex resource issues while balancing the needs of wild fish and people.
• A high degree of proficiency in Microsoft Office, particularly with Outlook and Excel. Experience with Monday.com or other cloud-based project management software a plus
• Meticulous attention to detail and excellent time management
• Strong aptitude for numbers, spreadsheets, and financial reports
• Effective written and oral communication skills
• Ability to manage multiple tasks and prioritize to meet deadlines
• Ability to self-direct and manage timelines
• Ability to work well in a team environment
• The ability to work from our office in Mount Shasta, CA.
