California University of Science and Medicine (CUSM) seeks a service-oriented professional with strong communication and organizational skills to join the Finance and Administration team. The Receptionist will serve as the first point of contact for students, employees, and visitors, ensuring a welcoming and professional environment at the University’s main lobby. The ideal candidate will demonstrate excellent customer service, attention to detail, and the ability to handle multiple tasks in a dynamic environment while maintaining confidentiality and professionalism.

The wage range of $22 - $26/hour is dependent on education, job-related knowledge, skills, and experience. Applicants must be available to work on campus five days a week. The shift schedule is Monday to Friday from 8:00 AM to 4:30 PM.

Position Purpose
Under the direct supervision of the Assistant Dean of Finance and Administration, the Receptionist is responsible for delivering exceptional customer service to the University’s students, employees, and visitors. The Receptionist is the first point of contact for all visitors to the University.
Essential Functions
95% Welcome Desk – Main Lobby
- Display a high level of professionalism while interacting with students, employees, and visitors and when dealing with confidential and sensitive issues and documentation.
- Provide high-quality service to front desk activities.
- Greet vendors and visitors and contact the appropriate department.
- Answer and screen incoming phone calls professionally; take and deliver messages as needed.
- Greet students, employees, and visitors with a positive and helpful attitude.
- Assist students, employees, and visitors in finding their way around the building.
- Assist in workplace security by issuing, checking, and collecting badges.
- Maintain visitor log.
- Maintain the CUSM phone directory.
- Coordinate access for vendors or emergency personnel with the Building Manager for any facilities issues.
- Provide backup services to the Building Manager for receiving and shipping activities.
- Accept and distribute mail to staff and faculty.
- Assist, coordinate, and train Welcome Desk activities with front desk interns.
- Assist with department or university events.
- May be required to adjust work schedule in support of university operations (evenings or weekends).

Required Educational Qualifications
- High School diploma or General Education Degree (GED) and a minimum of one (1) year experience in the customer service industry.
Skills and Abilities
- Excellent communication skills, including written and verbal acuity.
- Excellent customer service skills.
- Strong knowledge of Microsoft Office Suite, MS Outlook/Teams, SharePoint, and Adobe Sign.
- Ability to maintain confidentiality; ability to recognize sensitive information and handle information with care and tact.
- Excellent organizational skills and attention to detail to prioritize work assignments, employ political acumen, and integrate information to determine an appropriate course of action.
- Ability to guide processes to closure.
- Ability to work on multiple tasks simultaneously.
- Ability to adapt to a dynamic environment.
- Ability to exercise sound judgment routinely and independently in decision-making.
- Demonstrated experience working independently and as part of a team.

Preferred Qualifications
- Associate’s degree.
- Prior experience as an administrative assistant or receptionist.
- Experience in higher education, medical education, or university environment.
