What are the responsibilities and job description for the Academic Achievement & Bar Prog Coordinator position at California Western School of Law?
Under the supervision of the Director of Academic Achievement, the Coordinator of Academic Achievement & Bar Programs (Coordinator) will be responsible for coordination of the Academic Achievement Department. This position will be the initial liaison to all students interacting with the department and will coordinate the administration of departmental courses, programs, activities, and events. Additionally, the Coordinator is responsible for scheduling appointments and events, gathering and preparing data for Academic Achievement and Bar Programs, and monitoring attendance in related courses. This position must maintain confidentiality of student files and information, in accordance with applicable local, state, and federal laws.
Primary Responsibilities (includes but not limited to):
- Department Coordination
- Promptly screen departmental telephone calls and electronic communication and respond to or refer communication as applicable.
- Direct visitors and communications received by Academic Achievement to appropriate department personnel.
- Provide assistance and information to staff, students, faculty, and visitors.
- Maintain the Academic Achievement Department email inbox and calendar, including scheduling meetings and appointments.
- Responsible for the ordering of supplies, as well as the organization and inventory of supplies.
- Prepare and distribute incoming and outgoing mail and UPS/FedEx packages in a timely manner.
- Assist with maintaining and organizing filing systems, including confidential student records.
- Draft, format, edit and/or proofread letters, reports, surveys, manuals, memoranda, classroom instructional materials, posters, and other materials as assigned.
- Organize and prepare expense reports including check requests, mileage reports, reimbursements, petty cash requests, corporate credit card statements, and supporting documentation.
- Maintain/keep up to date the department website, social media platform(s), and learning management system(s) for Academic Achievement courses, programs, and events.
- Program Coordination
- Schedule department courses, meetings, and programs working with campus staff as necessary, including room reservations and schedule coordination.
- Track and input attendance for departmental academic engagement, support and bar exam courses, programs, and events.
- Assist with the student intake process.
- Help communicate policy initiatives to inquiring students.
- Route contracts and active workers lists to the appropriate departments.
- Manage or co-manage, as applicable, the Academic Achievement lending library.
- Provide a variety of administrative tasks, including data entry, filing, copying, maintaining contact lists, handle mass mailing, and other administrative tasks.
- Plan and coordinate events including arranging facilities, venue, equipment, catering, presentations, announcements, attendance, and materials.
- Assist audio-visual personnel with tutoring sessions and bar review classes as needed.
- Contribute to cross-department committees, groups, projects, and initiatives as assigned.
- Work with appropriate level of assistance, instruction and supervision.
- Proactively advise the Director of Academic Achievement of project status, potential issues, and overall departmental progress.
- Perform, with team approach, other duties as assigned.
Qualifications:
- Bachelor’s degree required.
- At least three to four years of progressively responsible experience in a fast-paced administrative position required.
- Ability to communicate effectively verbally and in writing is required.
- Two to three years of program administration or coordination experience in higher education strongly preferred.
- Supervisory experience preferred.
- Experience in website maintenance strongly preferred.
- An equivalent combination of education and experience may be substituted.
- Demonstrated ability and interest in working with a highly diverse student and employee population.
- Requires a firm commitment to provide exemplary performance in a demanding environment.
- This position requires substantial data entry, attention to detail, and effective verbal and written communication skills.
- Must be a motivated, highly organized, and self-directed individual with excellent interpersonal skills.
- Must also effectively multitask and handle a variety of tasks independently, with minimal supervision, in a professional and mature manner while exercising appropriate judgment.
- Attention to detail, ability to maintain confidentiality, and a high degree of accuracy are crucial to success in this position.
Skills:
- Intermediate to Advanced level computer skills.
- Intermediate to Advanced experience in Microsoft Office Suite, including MS Word, Excel, Outlook, Publisher and PowerPoint.
- General internet skills are essential; intermediate internet skills a plus.
- Knowledge of effective internet search properties.
- Knowledge of database programs.
- Experience with web page editing, website management, electronic communication and database systems, and data analysis and interpretation.
- Knowledge and proficiency in social media required including Facebook, Twitter, LinkedIn, Tumblr, and Instagram.
- Aptitude for learning new technology.
Compensation: $20.00 – $22.00 per hour
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the law school reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the law school anticipates paying for this position, based on internal equity and budget.
