About the Role:

Callen-Lorde seeks an experienced, detail-oriented, and creative Event Producer to lead the strategic planning, production, and execution of signature fundraising events and third-party events. This role plays a pivotal part in shaping event experiences that elevate Callen-Lorde's brand, maximize fundraising potential, and strengthen community engagement. This full-time position requires flexibility to work evenings and weekends in alignment with event schedules.

 

Key Responsibilities:  

As an Event Producer, your responsibilities will include:

  • Event Strategy and Planning: Lead the strategic planning and execution of Callen-Lorde’s signature fundraising events and third-party fundraisers. Develop event concepts, themes, and programming to create meaningful and memorable experiences for diverse audiences.

  • Budget and Timeline Management: Create and manage detailed event timelines, budgets, and production schedules to ensure timely and cost-effective delivery. Track and reconcile event-related expenses, optimizing resources while maintaining quality.

  • Vendor and Venue Coordination: Oversee vendor and venue relationships, including contract negotiations, site visits, and day-of coordination. Manage all logistics such as equipment rentals, staging, and audiovisual needs.

  • Event Production and Execution: Serve as the on-site lead during events, overseeing event flow, troubleshooting issues, and managing staff and volunteers. Ensure all technical, logistical, and programmatic aspects run smoothly and efficiently.

  • Fundraising and Donor Engagement: Collaborate with the development team to maximize fundraising through sponsorships, ticket sales, and donations. Support donor cultivation and stewardship activities through personalized outreach and event engagement.

  • Marketing and Communications Support: Work closely with the communications team to develop marketing strategies, promotional materials, and event collateral. Assist in leveraging social media and digital platforms to increase event visibility and participation.

  • Cross-Departmental Collaboration: Coordinate with internal teams, including finance, facilities, security, and IT, to ensure seamless execution of event logistics. Partner with the finance team on budget tracking, vendor payments, and sponsorship invoicing.

  • Leadership and Team Coordination: Provide mentorship and guidance to junior staff and volunteers. Co-lead event production meetings with internal teams, consultants, and stakeholders.

 

Work Schedule: 
This full-time position requires three opening shifts (8am-5pm) and two evening shifts (12pm-9pm) per week, along with a rotating Saturday shift from 9am to 3pm once per month.

Qualifications


Education, Experience

  • Bachelor’s degree preferred, or equivalent combination of education and relevant professional experience.
  • Minimum of 4 years of experience in event production, fundraising events, or related fields, preferably in a non-profit environment. Consultants with equivalent experience in event production or fundraising events are also encouraged to apply.
  • Proven track record of managing large-scale events from conception to completion.
  • Strong vendor management, contract negotiation, and budgeting skills.
  • Excellent verbal and written communication skills.
  • Proficiency with event management software, donor databases (e.g., Bloomerang, GiveSmart, GiveButter), and Microsoft Office Suite.
  • Familiarity with audiovisual equipment, event technology, and production tools is a plus.
  • Demonstrated ability to work effectively with diverse populations.
  • Knowledge of LGBTQ and HIV health/mental health issues is preferred but not required.
