Accounting Assistant

POSITION OVERVIEW: The Jr. Accountant is responsible for maintaining and processing cost expenditures and purchases within the organization. They will be a part of a fast-paced team and will need to collaborate with the other departments to achieve the overall objectives of the accounting department. They will need to be detail oriented, be able to analyze cost data for trends, have strong problem-solving skills, work comfortably under pressure, and deliver on tight deadlines.
ESSENTIAL DUTIES:
- Maintaining vendor accounts:
- Setting up new vendors and payment terms
- Collecting W-9’s, contact information, and preferred payment methods.
- Issuing 1099’s annually
- Managing all parts of the Accounts Payable process:
- Managing the AP email/mail daily
- Entering, attaching necessary backup documentation (Opex & COGS)
- Establishing and maintaining relationships with new and existing vendors
- Making invoice payments to vendors within terms (ACH, Credit Card & Check).
- Breaking down invoices and creating schedules for indirect costs (i.e. gas, telephone, insurance).
- Maintaining the vendor aging report:
- any unapplied credits or material debits given to vendors.
- Use materiality thresholds to audit invoices ensuring it is recorded in the proper accounting period and coded to the proper general ledger account.
- Overseeing the Purchase Order process:
- Ensuring they are coded to the proper expense account.
- Examine unmatched purchase orders at the end of the current month being closed. Inquire with operations as to whether an accrual for the unmatched PO's is necessary. Provide list to Finance Director.
- Inventory costs tied to PO’s.
- Enter all credit card transactions, collect receipts, and perform the reconciliations:
- Customer Accounts Receivable Payment Collections
- Perform Journal Entries as needed.
- Working closely with the Staff Accountant to resolve issues related to costs on jobs.
- Work closely with Construction Project Managers from beginning to end of project to ensure payables are handled properly and timely accounted for.
- Assist with annual audit and pulling AP data.
- Miscellaneous tasks assigned by the Finance Director, as needed.

Required Qualifications
- Strong fundamental accounting experience:
- Reconciliations
- Coding
- Accounts Payable
- Accounts Receivable
- Detail oriented
- Data Entry Precision
- Understanding the different types of cost accounts and how they impact the Profit & Loss Statement
- Understanding job costing and the timing of costs
