Camas Washougal Animal Hospital is seeking a dedicated and experienced Veterinary Client Service Representative to join our team. This has the potential to be a leadership role for the ideal candidate and offers the opportunity to play a key part in managing and enhancing the client experience, overseeing day-to-day client service operations, and leading a team of Client Service Representatives. The ideal candidate will be highly organized, empathetic, and a natural leader with a passion for animals and exceptional customer service.
As the Lead Veterinary Client Service Representative, you will serve as the primary point of contact for our clients, while mentoring and supervising the client service team. You will ensure smooth clinic operations by coordinating appointments, managing client interactions, and facilitating communication between clients and the veterinary staff. Your leadership will directly impact the overall success and positive reputation of our clinic.
**Key Responsibilities:**
- Lead, train, and mentor the client service team to ensure high quality client service and efficient clinic operations
- Oversee day-to-day client service activities, ensuring smooth scheduling, accurate record-keeping, and effective client communication
- Serve as the first point of contact for complex or escalated client inquiries and resolve concerns with professionalism and empathy
- Manage client scheduling, including appointments, follow-ups, and reminders, ensuring optimal patient flow and clinic efficiency
- Collaborate with the veterinary team to provide seamless communication between clients and the clinic staff
- Assist with check-in, check-out, billing, and payment processing, ensuring accuracy and timeliness
- Monitor and maintain clinic supplies and equipment to support smooth daily operations
- Educate clients about pet care, clinic policies, and services, while promoting additional services and products
- Ensure the client service area remains welcoming, organized, and professional at all times
- Assist in implementing clinic policies and protocols to enhance operational efficiency and client satisfaction
- Maintain detailed and accurate client and patient records in the clinic management system
- Assist with performance reviews and provide feedback to improve the team’s effectiveness
- Support the clinic’s management team in handling administrative duties and special projects
**Qualifications:**
- High school diploma or equivalent; additional education in animal care, business, or a related field is preferred
- Minimum of 2 years of experience as a veterinary client service representative or in a similar customer service role, with at least 1 year in a supervisory or leadership capacity
- Strong leadership skills with the ability to motivate and guide a team
- Exceptional communication skills, both verbal and written
- Proficient in using clinic management software, scheduling tools, and general office systems
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Excellent problem-solving abilities, with a focus on client satisfaction
- Compassionate, professional, and friendly demeanor, with a genuine passion for animals
- Strong attention to detail and organizational skills
- Knowledge of veterinary procedures and terminology is a plus
