Key Responsibilities
- Provide coordination for (i.e., prepare the meeting announcement, agenda, and presentation materials), participate in (i.e., provide verbal comment/recommendation concerning technical and management matters), and follow-up (i.e., develop meeting minutes and after-action correspondence for Government review and approval) for all meetings.
- Maintain and manage senior leadership daily scheduling.
- Prepare for agency meetings and senior level forums by compiling information, preparing briefings, and conducting final quality control of read-ahead packets.
- Ability to synthesize information provided from across the Department and outside agencies to enable the organization to discern key facts and issues.
- Collaborate with senior staff to support the preparation of concept and position papers and develop correspondence that communicates the intent of key issues.
- Draft and revise letters, memos, notifications, commendations, and acknowledgements on behalf of the agency.
- Review and edit correspondence and reports submitted by staff for accuracy of content, language, and grammar in relation to program objectives and issues.
- Provide administrative support for front office operations, including managing phones and messaging.
- Support the completion and correct retention of all required documentation and official records.
- Ensure the appropriate retention of records and appropriate file management for senior leadership.
- Coordinate special projects such as white papers, reports, and briefings as required.
- Manage staff actions, determine status, prioritize events, and provide comprehensive status briefs.
- Prepare, manage, and follow-up on senior leadership travel logistics and vouchering.
- Manage administrative tasks for back-office operations, including document management, scheduling, and correspondence.
Required Experience:
- Ability to obtain and maintain a Secret Clearance
- Proven experience as an Administrative Assistant, ideally within the Department of Defense (DoD) or similar government entities, as well as in private sector or corporate environments.
- Deep understanding of DoD protocols, compliance requirements, and sensitivity to classified information.
- Strong organizational skills (e.g. time management, communication, setting goals, delegation, working under pressure, self-motivation, analytical thinking, and attention to detail).
- Superior written and verbal communications.
- Proficiency in remote/virtual meeting environments such as Zoom, Microsoft Teams, and WebEx.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and familiarity with database management systems.
- Proficiency in Adobe applications such as Reader, DC Pro, and Connect.
- Demonstrated success managing schedules for senior government leadership.
- Discretion and the skill to manage confidential information.
- Experience in both government and private-sector administrative roles.
- Technological savviness, with capability in adopting new software and digital tools for improved productivity.
- Bachelor’s degree and (9) or more years of experience in supporting office functions and organization/agency leadership
- An additional five (5) years’ experience supporting an office and executives in an administrative capacity can be substituted for a bachelor’s degree.
- Bachelor’s Degree preferred, or equivalent combination of education and experience in relevant fields.
