Job Summary:
We are looking for a friendly and professional Receptionist to join our team. This role will involve managing phone calls, greeting visitors, and providing essential administrative support to ensure the smooth operation of our facility. The Receptionist will interact regularly with residents, family members, and staff, handle emergency responses, and assist with a variety of clerical and housekeeping tasks.
Key Responsibilities:
- Answer phone calls, direct them to the appropriate person, or take messages as needed.
- Assist with emails, faxes, photocopying, and other administrative tasks.
- Maintain up-to-date resident and staff directories, ensuring records are current and accurate.
- Respond to resident emergency calls promptly and take appropriate actions.
- Announce emergency codes and provide necessary instructions during critical situations.
- Assist residents, family members, and other visitors with inquiries about the facility.
- Log, track, and follow up on resident emergencies to ensure timely resolution.
- Enter maintenance requests and manage work orders efficiently.
- Accept payments for services and charges, ensuring accurate processing.
- Create, distribute, and track key fobs for residents.
Qualifications:
- High school diploma or equivalent required.
- Strong customer service skills with professional phone etiquette.
- Basic computer skills, including proficiency in Microsoft Word and email.
- Ability to multitask and handle high-pressure situations with calmness and efficiency.
- Excellent communication and interpersonal skills.
Physical Requirements:
- Ability to sit, stand, and move around the office for extended periods.
- Occasional lifting of up to 25 lbs.
