Part-Time Front Desk Associate – Job Description
Reports to: Community Manager and Building Board
Schedule: Monday to Friday, 4 p.m. to 8 p.m.
Overview
The Front Desk Associate (FDA) at 22 South Front Street is integral to maintaining building security, providing resident support, and fostering a welcoming and professional environment. This role requires a balance of customer service, technical proficiency, and attention to detail. The responsibilities outlined may evolve to meet building needs and resident feedback.
Primary Responsibilities
Building Security and Monitoring
- Monitor all entry and exit points, check identification, and enforce security protocols to maintain safety.
- Control contractor access.
- Learn and use security, door entry, and CCTV monitoring systems.
Visitor and Resident Assistance
- Greet residents, guests, and service personnel warmly and professionally.
- Open doors and gates for individuals as needed.
- Announce visitors to residents/owners before granting access.
- Assist with heavy items using the building’s hand cart.
- Deliver packages to units.
Communication
- Respond promptly to calls, emails, and in-person inquiries.
- Record incidents, maintenance issues, or resident concerns in a log and escalate them to management as necessary.
Building Maintenance Support
- Monitor and report issues with HVAC, lighting, elevators, and other common areas.
- Perform light maintenance, such as vacuuming elevator cabs, replacing lightbulbs, or tidying carts.
- Handle trash management, including ensuring the trash rooms remain clean and organized.
- Spread salt on sidewalks during light snowfalls to maintain safety.
Move-In/Move-Out Coordination
- Inspects hallway of the affected move before and after.
- Notifies property manager of issues to be charged to the resident.
- Directs cleaning staff to remediate small issues.
Emergency Response
- Act as the first line of defense in an emergency, responding to incidents as necessary.
- Knowledge of safety protocols and the ability to act quickly in emergencies is critical.
Skills and Attributes
- Multitasking Ability: Effectively manage multiple requests and prioritize tasks as needed.
- Technical Proficiency: Operate building access and security systems and provide basic troubleshooting. Basic knowledge of office computer technology.
- Attention to Detail: Maintain accurate logs, records, and inventory lists.
- Physical Capability: Perform light maintenance tasks and assist with occasional lifting or moving of items.
Additional Responsibilities
- Monitor compliance in garage storage and trash room organization.
- Assist in troubleshooting building systems, including inspecting mechanical and fire pump rooms.
- Assist residents with AV equipment and event setup as required.
Compensation
- Hourly Rate: $20/hour
- Overtime: Opportunities available as per building needs.
- Event-specific tasks (e.g., setup and AV support) may be compensated directly by event organizers based on task complexity.
