SITE OFFICE MANAGER

REPORTS TO: Site Director
Coastal Plains pays this position at an hourly rate: 16 Hours a Week, Four Hours a Day (3:00pm – 7:00pm) Monday through Thursday. Part-Time Position
QUALIFICATIONS:
- College degree preferred.
- General office and computer skills required.
- Excellent verbal and written communication skills desired.
- Ability to develop effective working relationships with staff.
- Knowledge of database programs.
JOB GOAL: To assist with clerical duties as assigned. These duties may include processing of purchase orders, data entry, record keeping and student records.
- Prepares and submits Purchase Orders and picks up supplies
- Check orders received and send packing list to receipts@cpehs.org
- Helps set up the site each night, as needed.
- Fills in for site receptionist, as needed
- Perform the usual office routines and practices associated with a productive and smoothly run office.
- Assist with incoming calls and mail.
- Manages the food program: orders food, takes checks to vendors, picks up supplies/food.
- In IC, Check Daily Attendance screen and update the daily attendance spreadsheet- The receptionist should have entered the on-site present students and the Office Manager will enter the students that logged in remotely (off campus) on Edgenuity.
- Monitor attendance for consecutive absences and send weekly attendance emails to the site.
- The Registrar will contact the Office Manager regarding missing documents so the Office Manger can discuss with the parent when scheduling the orientation meeting.
- Look for note under Registrar comments (Column M) -ready for orientation meeting and add date of Orientation to column Q once scheduled.
- Prepare orientation packets including the student folder (color coded with name and cohort on the label). Include waivers, if necessary.
- Email the Registrar about the student progress: worked in Edgenuity, showed up for a meeting or if a no show for the meeting.
- After enrollment, add a mentor flag. Flags
- Upload - Scan in all active and new students information in IC Person Documents
- Notify the Registrar for students who need to be withdrawn.
- Send final clearance form to the Regional Registrar of potential graduates and turn in information as requested (Counselors or Grad Coaches may do this)
- Graduates permanent folder - Scan in all contents of folder to Person Documents and shred all paperwork, if needed
- Notarize forms, if applicable
- Participate in professional learning as assigned.
- Maintain a high level of ethical behavior and confidentiality of student information.
- Perform other duties and responsibilities as assigned for the betterment of Coastal Plains High School.
