How you will contribute to our TEAM:
- Maintains calendars for events and appointments for the VP of Sales and NAMs by scheduling calls, appointments, and meetings, securing meeting space, and resolving scheduling conflicts as necessary, and preparing meeting materials and communications to attendees. Generate and distribute regular reports to the NAMs, Local Account Managers (LAMs), and other stakeholders.
- Coordinate with internal departments, such as sales, marketing, operations, contracts, and project control, to ensure successful opportunity closure and job execution.
- Compile and analyze sales data, project timelines, and performance metrics.
- Organize and maintain detailed records of account activities, correspondence, and agreements.
- Organize and participate in team meetings, including note-taking and follow-up on action items.
- Assist the sales team in maintaining accurate records for customers, tracking opportunity and project progress and updating our CRM system.
- Serve as a point of contact for clients, ensuring professional and timely communication.
- Assist in preparing client-facing materials, including proposals and contracts.
- Monitor and respond to emails on behalf of the VP of Sales and NAMs, as needed.
- Makes travel arrangements for the VP of Sales and assists with expense reports.
- Facilitate communication between the sales and operations teams to resolve issues and improve processes.
- Identify and recommend enhancements to administrative procedures.
Knowledge, Skills, Ability, Qualifications & Experience
- Minimum of 3 years in an administrative or coordinator role, preferably in the construction or a related industry.
- Associate’s degree in business administration or a related field required; a bachelor’s degree is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management abilities.
- Strong written and verbal communication skills.
- High attention to detail with the ability to manage multiple tasks and deadlines.
- Familiarity with Sales Force CRM software is a plus.
- Professional demeanor and the ability to handle confidential information.
- Proactive problem-solving and decision-making skills.
- Team-oriented mindset with the ability to work independently as needed.
- Travel may be required to support the NAM or attend client meetings, up to 25%.
