Events and Sales Manager

Camp Hideaway - Gruene

Location: Camp Hideaway - Gruene, New Braunfels, TX (4 days per week) and Camp Hideaway - Fredericksburg (1 day per week)

$60,000 - $75,000 a year - Full-time

Reports To: Operations Manager

Camp Hideaway Gruene is seeking a motivated and dynamic Events and Sales Manager to join our team. The Events and Sales Manager will be responsible for driving sales across multiple revenue streams, including event sales, lodging, and account management. This role will involve managing client relationships, securing new business, and ensuring smooth event execution, all while maintaining high standards of guest service and experience.

  • Business Development: Solicit new business opportunities through prospecting, networking, attending industry events, and establishing connections with wedding planners, corporate event organizers, and other relevant partners.
  • Lead Management: Manage and engage all inbound wedding and group event sales inquiries ensuring prompt responsiveness to convert inquiries to tours.
  • Property Tours: Schedule, coordinate and conduct all on site tours with prospective clients, showcasing Camp Hideaway's unique offering as a venue
  • Negotiate and Close Sales: Close group bookings, negotiate and secure signed contracts, and facilitate payments
  • Event Planning: Create event resumes that includes the event run of show, vendor contact information, schedules, special requests, timelines. Ensure all correspondence with booked and prospective clients is timely, accurate, and aligned with company policy.

Event Management: Coordinate and oversee or assign oversight of all activities during entire event day, including setup, vendor arrivals, ceremony, reception and teardown Reporting and Analysis: Work in TripleSeat and Resnexus databases and utilize to analyze sales, identify trends and adjust strategies to optimize lead conversion

  • Marketing and Promotion: Identify and create marketing resources as needed and ensure all promotional materials
  • Strategic Planning: Develop a comprehensive strategy to drive more event bookings, maximize conversions and secure Camp Hideaway as a mainstay venue in the industry. Prepare and participate in regular weekly, monthly and quarterly staff meetings with leadership team.

- Drive event sales by identifying and securing new clients, including corporate groups, weddings, retreats, and other social events.

- Collaborate with prospective clients to understand their event needs, providing tailored packages and solutions to meet their expectations.

- Develop and present proposals, contracts, and event details to clients.

- Oversee the entire event process, from initial inquiry through to post-event follow-up, ensuring exceptional guest experiences.

- Coordinate with internal teams (operations, catering, etc.) to ensure seamless event execution. - Conduct site tours and assist clients with selecting the best venues and services offered at Camp Hideaway Gruene.

- Manage lodging sales efforts, including group bookings, special events, and individual reservations.

- Develop strategies to maximize occupancy and revenue from lodging, ensuring alignment with business goals.

- Maintain and update the booking system, tracking availability and reservations to avoid conflicts. - Work with guests to customize lodging experiences, ensuring the highest level of comfort and satisfaction.

- Collaborate with the marketing team to promote lodging packages, special offers, and events.

- Build and maintain strong relationships with clients, vendors, and partners to ensure long-term business success.

- Act as the primary point of contact for clients, handling all inquiries, requests, and concerns promptly and professionally.

- Follow up with past clients to secure repeat business and referrals.

- Ensure all client accounts are accurately tracked, invoiced, and paid in a timely manner. - Develop and maintain a database of leads, prospects, and clients, ensuring regular communication and updates.

Requirements:

  • Location: Must be willing to work full time on site
  • Schedule: Extended hours including nights and weekends

Qualifications

- Bachelor's degree in Business, Hospitality Management, Marketing, or a related field (or equivalent experience).

- Proven experience in sales, preferably in the hospitality, event planning, or lodging industry. - Strong organizational and time management skills, with the ability to manage multiple events and accounts simultaneously.

- Excellent communication skills, both written and verbal.

- Strong negotiation and closing skills with a customer-focused approach.

- Ability to work independently and as part of a team.

- Proficiency with sales management software and CRM systems: Resnexus, TripleSeat, Wedding Pro, Zola, Here Comes The Guide, Air BNB & VRBO (STR), Grasshopper

- Knowledge of the local market and competition is a plus.
