What are the responsibilities and job description for the Assistant Wedding Coordinator position at Camp Hosea?
Camp Hosea is looking to expand it's in-house coordination team, Everlasting Weddings! This role requires a detail-oriented individual who can balance in-office administrative tasks with hands-on event coordination. The ideal candidate will also assist our Opener/Closer team as needed and be comfortable working opening and closing shifts when required.
This job is flexible in hours employee must be willing to work weekends. Heavy weekend availability is essential!
Requirements:
- Previous experience in a leadership role, preferably in the hospitality industry
- Strong leadership skills with the ability to effectively reflect the venue beliefs
- Excellent customer service skills and a passion for delivering exceptional guest experiences
- Strong organizational and multitasking abilities
- Ability to work in a fast-paced environment and adapt to changing circumstances
- Comfortable working long shifts on weekends and standing for extended periods
- Flexibility to work mornings, evenings, weekends, and holidays as needed

During-the-Week Responsibilities (up to 10 in-office hours)
- Assist the Lead Coordinator and Venue Manager with administrative tasks
- Respond to client emails and inquiries
- Update schedules, checklists, and vendor details in our system
- Prepare wedding day timelines and confirm vendor logistics
- Run meetings with Brides and communicate any follow-ups needed
- Organize décor, signage, and supplies for upcoming events
- Assist with venue walkthroughs and client meetings
- Support the Opener/Closer team when needed
Event-Day Responsibilities (hands-on coordination/opening/closing):
- Oversee all aspects of venue event's day of operations
- Manage and oversee the event held at the venue, ensuring smooth execution and customer satisfaction.
- Assist lead planner/coordinator for any day of help (or lead event and collaborate with assistant)
- Maintain a safe and clean environment for guests and staff
- Collaborate with other vendors to ensure seamless coordination of operations
- Ensure all rules, regulations and policies are being executed by yourself, venue staff, vendors and wedding guests (dim lights, turn up AC, watch for rules being broken, etc.)
- Assist with vendor coordination and event setup
- Ensure the wedding timeline is followed and executed smoothly
- Provide direct support to the Lead Coordinator and Venue Manager
- Step in to help the Opener/Closer team as needed
- Work opening and closing shifts when required
