Position Description
Job Title: Program Manager
Reports to: Director of Programs
Department: Camps (Program Experience Team)
Overall Function: Manage the Camp staff (coordinators, counselors, med staff, lifeguards…) to deliver high quality experiential and recreational programming for Joy clients and campers. This includes hiring, training, scheduling and development of the Camp staff. Manage logistics and finalize agendas for upcoming groups. Serve as on-site manager primarily for Camp’s groups but assists with all program departments. Present and/or actively participate in work groups and Joy meetings, prepared with accurate logistics and data.
Summary of Responsibilities
1. Staff Leadership/Development: Directly supervise camp staff through Selection, Training, Assessment, and Recognition (STAR). Create the disseminate the weekly/weekend schedules to staff, including activity schedules, meal sign-ups, time-off, and other necessary paperwork. Manage and approve Paycor requests. Observe programming to be able to accurately fill out performance reviews. Take point on discipline as needed.
2. Program Support: Connect with clients about desired outcomes and finalize agendas for staff and clients. Provide program delivery staff with program details that impact their ability to deliver a high-quality program in a timely manner. Communicate program changes internally and externally. Serve as principal liaison between clients and Camp Joy program delivery team. Greet client groups the day of program, serve as host during stay with regular check-ins. Work as a member of the program delivery team, as needed.
3. Customer Service: Develop strong client relationships and go above and beyond to meet client needs. Asure appropriate communication occurs with the clients- program schedules, details and follow ups. Schedule client meetings throughout the year and prepare/connect coordinators of sessions with clients.
4. Department Administration: Attend various types of meetings and complete assigned tasks; clearly communicate progress of weekly/monthly/quarterly/annual initiatives to Director of Programs.
5. Culture: Instill and model The Camp Joy Way: a culture of client focus, collaboration, discipline, continuous improvement, creativity, innovation and accountability focused on Camp Joy's mission and values.
6. Financial Performance: Assist with annual Camps budget focused on operating profit goals and manage the direct expenses (staff hours, program supplies, STAR…). Collaborate with Director of Programs to meet Camp revenue goals and other teams to achieve overall Camp Joy financial goals.
7. Sales/Communications/Marketing: Assist with selling and market programs to clients and assist in creating a business pipeline for potential new clients. Communicate value of experience-based programming to key clients and community through phone calls, off-site appointments, site visits and networking.
8. Innovation & Continuous Learning: Innovate and develop, by focusing on new initiatives to individually grow as well as enhance the organization. Plan/coordinate seasonal staff trainings and assist with other Joy staff trainings.
9. Team Player: Work collaboratively and proactively with other Camp Joy staff and teams to identify and resolve conflicts. Adhere to and enforce all Camp Joy policies, procedures, and deadlines.
10. Community Relationships: Represent Camp Joy programs to the community. Professionally present Camp Joy at on and offsite meetings and trainings.
11. Registration & Admin Support: Collaborate with and support employees on trainings, processes and paperwork. Ensure photos are taken of campers and uploaded onto computer. Oversee day-to-day operations of camp programs including check-in/out process, programming, participant and staff behavior and needs.
Qualifications:
· Applicants must have a bachelor’s degree in relevant fields of study or equivalent work experience.
· Applicants must have the ability to build rapport and collaborate with others within the organization and externally.
· Applicants must have experience in delivering client-focused solutions based on client needs.
· Applicants must have experience and knowledge in program development, facilitation and/or delivery.
· Applicants must have experience of customer service.
· Applicants must have excellent listening, negotiation, and presentation skills.
· Applicants must have excellent verbal and written communications skills.
· Applicants must have the ability to manage multiple projects at a time.
· Applicants must have strong attention to detail and adherence to deadlines.
· Applicants must be proficient in Microsoft Office (Word, Excel, and Outlook) and Google products platform.
· Applicants must have a valid driver’s license, and it is preferable that they are insurable under Camp Joy’s policy.
Working Conditions:
· Applicants must be able to work a flexible schedule including evenings and weekends, as needed.
· Applicants must be able to carry supplies, etc., of up to 50 lbs.
· Applicants must be able to work in an outdoor environment in all types of weather conditions.
· Applicants must be able to walk on uneven pavement and hiking trails.
· Applicants must be able to work a full day at a desk.
