General Description of the Role

The Integrity/Inventory Operations Manager is responsible for the areas of long-term liquid forecasting, scheduling, barrel inventory management and warehouse building assessments within the warehouse and distillery operations. This role will manage the communication of requirements to global planning and will be responsible for inventory control of aged and new liquid production. Position will also manage third-party liquid contracts to optimize volumes in both distilleries, Wilderness Trail and Wild Turkey.

Mission/Objectives

The Integrity/Inventory Operations Manager will ensure accurate forecasting, scheduling and barrel inventory management of aged and new liquids to drive accurate forecasts for annual production needs in the distillery and warehouse operations. Responsibility for managing all third-party contracts and for conducting financial analysis on liquid costs and capex requirements for warehousing assets.

Key Responsibilities and Activities

Forecasting:

  • Receive the annual forecast from marketing/sales and develop an operational plan to meet the current and future forecast for distillation needs. This includes working with procurement to satisfy operational needs of barrels and grains.
  • Notify appropriate personnel with regard to any changes in the long term forecast and formulates appropriate blends for dumping based on changes in liquid availability or demand.
  • Ensure proper liquid is allocated to LTO’s and works closely with R&D on all active and future LTO projects.

Scheduling:

  • Work with the appropriate department managers to ensure all liquid needs are met to fulfill production plans in an efficient manner.
  • Report on plan adherence and schedule attainment.
  • Work with the quality department to ensure final liquid formulas are acceptable for withdrawal and dumping schedules.
  • Notify appropriate personnel with regard to any changes in the schedule due to liquid constraints.

Materials Planning:

  • Establish strategic vendor relationships and work closely with procurement to oversee the purchase and release of component materials (including grains, enzymes, barrels, etc.).
  • Maintain data integrity to ensure the effective use of DRAMS.

Financial Analysis:

  • Conduct CapEx reporting. Pull and compile monthly actual CapEx spend reports, compile BDG/RB CapEx plans working with engineering, finance and operations teams. Facilitate LT capital planning based on liquid planning needs.
  • Responsible for acquiring all third-party contracts, working with legal department to create and execute contracts in a timely manner.
  • Work with third-parties for any aged liquid contracts.
  • Lead monthly liquid costing reviews to review age of barrels being dumped and processed. Compare the actuals to standard to provide visibility and communicate COGS variances from liquid.

Inventory Management:

  • Manage barrel inventories at Wild Turkey and Wilderness Trail facilities, including internal and third-party barrels.
  • Responsible for setting up transport of barrels internally and for third-party withdrawals.
  • Drive improvements in inventory accuracy of aging liquid by conducting daily/monthly/annual cycle counting processes.
  • Oversee the sampling of third-party requests and single barrel, as well as anniversary production and provide recommendations (along with QC) for liquid adjustments if needed.
  • Ensure the daily and monthly reconciliation of transactions between multiple systems (DRAMS, SAP, RFID, etc.)
  • Manage the invoice approval process for purchased liquids contracts.
  • Be the company SME for Drams and support other teams (finance, planning, production operations, etc) that use the software.

Compliance:

  • For WTD, support the TTB reporting/compliance through ongoing support of compliance documentation, completing self-audits of records periodically, monthly document quality checks

Warehouse Integrity:

Responsible for the inspection and integrity of the Warehouse operations. Evaluate the warehouses on a periodic basis to make sure that warehouse have proper windows, lighting, bug infestations remedy, identify new powder post beetle infestations, etc. Properly document issues and send maintenance work requests and communicate with warehouse management any issues found.

QUALIFICATIONS/REQUIREMENTS:

  • Education
  • Bachelor’s degree is required.
  • Experience
  • A minimum of 2 years of experience with forecasting, planning, scheduling, procurement or related supply chain activities
  • A minimum of 2 years of administration and coordination in cross-functional operations environments
  • A minimum of 2 years of experience with SAP and Microsoft Excel
  • Experience working with or managing third party vendors is a plus
  • Experience in beverage or beverage alcohol is a plus
  • Experience in DRAMS is a plus
  • Experience with Radio Frequency Identification is a plus
  • Knowledge/Skills/Abilities
  • The ability to develop formulations based on sensory and taste profiles of aged liquids
  • Working knowledge of distilling and warehousing operations, in the spirits category
  • Proven ability to multi-task and problem-solve in a fast-paced manufacturing environment
  • Ability to work with people effectively, develop capabilities and continuously improve results
  • Collaborative work ethic, especially across department lines at all levels in plant operations – influencing effectively with management as well as line staff
  • Strong attention to detail and customer service orientation
  • Proficiency in SAP and Microsoft Office
  • Working knowledge of TTB regulations, ISO requirements and Food Safety processes a plus
  • Experience with Six Sigma or other continuous improvement methodologies a plus
