Job Summary:
The Office Assistant will perform a variety of administrative and clerical tasks to ensure the efficient operation of the office. This position supports the construction team, handles basic customer service duties, and maintains accurate records and documentation related to pool construction projects. Will also contribute to the office team and keeping the office tidy and clean as needed.
Key Responsibilities:
- Answer and direct incoming calls and emails in a professional manner
- Greet and assist visitors, clients, and vendors
- Schedule appointments, meetings, and construction site visits
- Maintain and organize project files, contracts, and permits
- Must have knowledge of filing Sales Tax and Business Tax and all taxes that are related to small businesses.
- Assist with invoicing, billing, and basic bookkeeping tasks
- Order office supplies and coordinate deliveries
- Communicate with subcontractors, suppliers, and customers as needed
- Support project managers and field crews with administrative tasks
- Perform general office duties such as filing, scanning, data entry and some light office cleaning
Qualifications:
- High school diploma or equivalent
- 1-2 years of office or administrative experience (construction industry a plus)
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- Friendly, professional demeanor and customer service skills
- Ability to work independently and as part of a team
Preferred Experience:
- Familiarity with construction terminology and permitting processes
- Experience with QuickBooks or construction management software (JobTread and Builder Trend)
Job Type: Part-time
Pay: $20.00 - $23.00 per hour
Expected hours: 15 per week
