Key Responsibilities
- Office Operations: Oversee daily office functions to maintain efficiency in administrative processes.
- Payroll & Accounting: Manage payroll with our accountant, maintain accurate employee records, and handle QuickBooks accounts payable/receivable.
- Team Support: Provide vital support to the owner and project managers, ensuring seamless communication and project coordination.
- Vendor & Subcontractor Management: Maintain strong relationships, track insurance compliance, and streamline AP/AR tasks.
- Communication & Organization: Field phone calls, emails, and other correspondence, directing inquiries appropriately.
- Documentation & Filing: Organize and maintain filing systems for quick, easy access to important documents.
- Event Coordination: Assist in planning company meetings, events, and other office activities to boost team engagement.
Preferred Qualifications
- Administrative Experience: 3 years in an administrative or office management role (construction/trades experience is a plus).
- Payroll & Accounting: Familiarity with QuickBooks or similar accounting/payroll software.
- Organizational Skills: Strong attention to detail, ability to multitask, and a proactive approach to problem-solving.
- Communication: Exceptional verbal and written skills to liaise effectively with colleagues, vendors, and clients.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and construction management software (Procore) is a bonus.

Work Schedule & Location
- Part-Time: Up to 30 hours per week, Monday–Friday (flexible hours).
- Full-Time: Available depending on your skills and capacity to assist with additional administrative or project management tasks.
- On-Site: This position is in person at our office in Northern New Jersey.
