POSITION DESCRIPTION
POSITION TITLE: Building Secretary
REPORTS TO: Building Principal
TERMS OF EMPLOYMENT: 12 month employment with benefits
QUALIFICATIONS:
- High school diploma
- Experience working in a professional office setting.
- Strong computer skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, and Outlook)
- Able to operate personal computer, laptop computer, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skill.
- Highly motivated with strong organizational skills; able to coordinate multiple tasks simultaneously.
- Self-starter; able to work independently.
- Strong telephone and interpersonal communication skills.
- Ability to lift 40 lbs. to shoulder height occasionally.
ESSENTAIL JOB FUNCTIONS:
- Register new students and request data on them.
- Withdraw students and send records as necessary.
- Type student and teacher forms, assemble and run; type school forms and copy.
- Type principal's correspondence.
- Maintain and keep all student records up-to-date, attendance, excuses, state reports, student information cards, progress reports and grades.
- Coordinate opening of school activities and distribute locker assignment and combinations, individual student schedules, homeroom assignments, attendance sheets, class lists, sub folders, medical and personal information cards, insurance forms, tornado and fire drills.
- Enter data and coordinate scheduling with principal and guidance counselor.
- Order all office supplies and issue supplies.
- Paperwork as designated for staff sick leave, professional leave or personal leave.
- Copy, file, and answer phones in the office.
- Determine honor roll students and type lists.
- Assist teachers with ordering supplies, obtaining information on students and finding proper forms.
- Check in materials and distribute such.
- Check purchase orders and invoices.
- Distribute mail and inter-building correspondence and make trips to the post office as needed.
- Assist principal with appointments for staff and principal.
- Be responsible for handling money in and out of the middle school office and to the treasurer such as workbook fees, class fees and end of the year fines as needed.
- Report any unusual occurrences to the principal.
- Complete required EMIS duties.
- Assist with guidance concerns (grades, etc.) when the counselor is not in the office (June and August).
- Maintain lost and found.
- Other duties as assigned by the building principal.
