What are the responsibilities and job description for the Specialist, Payroll/AR position at Canaveral Port Authority?
Job Summary
This position is responsible for general accounting functions in the Accounting/Finance department. This position will also be a back up to Payroll. This position reports to the Staff Accountant A/R.
Essential Functions
- Reviews all electronic documents for payroll ensuring accuracy of data and policies.
- Processes or reviews bi-weekly payroll, vacation payout/severance packages for separations, supplemental payroll(s), quarterly vacation buy-back program, stipends, incentives, short term disability taxes, group term life taxes, taxable fringe, and class C travel.
- Prepares upload and enter payroll journal entries into the Financial System.
- Formulates wires for retirement, and any other wires needed.
- Monitors and manages ACH fraud activity on the payroll bank account.
- Assists in the preparation of information for the annual workers’ comp audits as well as the annual financial audits.
- Responsible for monthly invoicing to Ground Transportation customers. Run reports in GateKeeper and NetSuite to balance to the GL monthly.
- Issue credit memos when needed.
- Responsible for providing backup from Gatekeeper and NetSuite to A/P for check requests and security deposit refunds checks. Balance Ground Transportation security deposit spreadsheet to GL by entering all new deposits and refunds.
- Field all phone calls from Ground Transportation customers regarding invoice questions and security deposit refunds.
- Assist with Cargo and Cruise invoicing.
- Performs other accounting duties as assigned.
- During emergency conditions, all CPA employees are automatically considered essential employees and may be subject to recall. These events may include, but are not limited to, natural, man-made, or public health emergencies. Employees may be expected to perform emergency and/or recovery operations outside of their normal assigned responsibilities and routine working hours.
Minimum Qualifications:
- High School diploma or GED equivalent, plus some college-level accounting classes or related fields and 3-5 years of administrative experience.
- Payroll administration with a minimum of 3 years’ experience.
- Proficiency with Microsoft Office programs - Strong understanding of Excel; including creation, maintenance, formula functions and formatting Word-including formatting, page setup, template building and editing PowerPoint-custom slides, templates, and animation
- Outlook-shared calendar management and scheduling
- NetSuite experience not required but preferred
Licenses / Certification Required:
- Florida Driver’s License
Physical Requirement
- Tasks involve the ability to exert light physical effort in a sedentary to light work.
- May involve some lifting, carrying pushing and/or pulling of objects and materials of light weight (5-10 lbs)
