JOB DESCRIPTION
Job Title: Medical Records/Check-in Coordinator
Reports To: Practice Administrator
GENERAL PURPOSE OF JOB
The role of the Medical Records/Check-in Coordinator is to schedule external orders, perform medical record requests, conduct medical record audits, answer phones, check in patients, post payments and coordinate care to appropriate personnel.
ESSENTIAL DUTIES AND RESPONSIBILITIES (including but not limited to)
- Schedule all external orders such as radiology, phlebotomy, referring care, etc. by generating OncoEMR reports. Review the requests, fax to referring facilities, follow up by phone as needed, and close the loop/ document in OncoEMR.
- Use electronic medical records system to check in patients, take patient pictures, update demographic information as needed
- Use the IV (Collections) Report to collect appropriate copay from patients on a daily basis
- Use financial software to collect copays and post payments
- Perform medical record audits, fax records to audit/ insurance companies as requested
- Collaborate with Billing Coordinator on a regular basis as needed
- Report and document all issues related to front desk operations, escalate to appropriate departments and close loop on issues
- Be courteous to patients in all interactions
- Receive new patient packets from patients and enter demographic information into Electronic Medical system as needed
- Manage CareSpace (patient portal access) which includes sending invitations or declining access to all active patients
- Open and close patient entrances and front desk area as needed
- Close out register, create end of day report, and hand off financials to administrative coordinator on a daily basis
- Oversee cash register to ensure appropriate cash denominations are accessible on a daily basis
- Create itemized statements upon patient request
- Keep the reception area clean and uncluttered
- Take on additional responsibilities as necessary, especially when other department members are not in office
EDUCATION and EXPERIENCE
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
PHYSICAL / ENVIRONMENTAL DEMANDS
Light physical activity performing non-strenuous daily activities of an administrative nature.
Job Type: Full-time
Pay: $15.00 - $16.00 per hour
